The tasks table

Manage workflow tasks with columns, sorting, and permissions in a customizable grid

The tasks table is the main grid on the Tasks screen. Each row is a task, and the columns summarise its key details. Click any row to open the task.

Columns

  • Task — the name/title of the task.
  • Due date — the date (and time) the task is due. Drives the Today, Upcoming, and Overdue views.
  • Completed — a tick to mark the task complete. Completed tasks appear in the Completed view.
  • Assignee — the user or team responsible for the task.
  • Linked to — an icon shown when the task is tied to another object (for example a Post or Project). Clicking the row, or using Link to, opens the linked item so you can jump back to the source.
  • Visibility — an icon that indicates when custom Sharing permissions have been applied, signalling the task is not visible to everyone.
  • Mentions — icons for any Contacts tagged in the task description. Hovering or opening the task shows who is mentioned.
  • Created By — the user who created the task.
  • Created on — the date and time the task was created.

Sorting and managing columns

Across the top of the table are controls for how the table is displayed:

  • Sort — click Sort, choose a column under By (for example Due date) and a direction (Ascending or Descending), then click Apply sort. Use Clear all to remove the sort.
  • Pin column — the pin icon opens a checklist of every column; tick the columns you want to freeze so they stay in view as you scroll sideways. Select All pins them all.
  • Hide column — the eye icon opens the same column checklist so you can hide or show individual columns and tailor what the table displays.
  • Toggle Full Screen — the expand icon at the top-right of the table expands the tasks table to fill the window; click it again to return to the normal layout.

Understanding key columns

Linked to

The Linked to column tells you a task did not originate on the Tasks screen — it was created contextually from an Event, Post, or Project. The icon reflects the source type. Use the row or the Link to action to open the originating item; the task also remains visible in that source area.

Visibility

The Visibility column surfaces whether a task has restricted access. When custom Sharing permissions are applied (for example, the task is limited to specific users or groups), a visibility icon appears. With no custom permissions, the task follows the default visibility for the account.

Mentions

The Mentions column lists the Contacts tagged in the task description. Mentioned Contacts can be People or Organisations and do not need to be SwiftFox users. Every mentioned Contact also gets the task listed on their profile Tasks tab; mentioned users additionally receive a notification.
