Filters & exporting tasks

Filter, sort and export tasks for precise reporting and workflow optimisation

The tasks table has controls at the top for filtering the list and exporting it for reporting. Combine filters with the built-in views and the All Tasks / My Tasks toggle to find exactly the tasks you need.

Filters

Click Filter at the top of the tasks table to open the filter builder. Each filter is a condition in the form Where [column] [is] [value]; click Add a new filter to stack more conditions, then Apply filter to apply them (use Clear all to reset). You can filter on any column, including:

  • Due date — filter by when tasks are due.
  • Completed — filter by completion status (complete vs not complete).
  • Assignee — filter to tasks assigned to a particular user or team.
  • Mentions — filter to tasks that mention a particular Contact.
  • Created By — filter to tasks created by a particular user.
  • Created on — filter by the date a task was created.

Filters stack with the active view and the All Tasks / My Tasks toggle, so you can build a precise list (for example, All Tasks + Overdue + a specific Assignee).

Sorting

Next to Filter, use the Sort button to order the table by a column: choose a column under By and a direction (Ascending or Descending), then click Apply sort. Use Clear all to remove the sort.

Exporting tasks

  1. Apply any views, the All Tasks / My Tasks toggle, and Filters so the table shows the tasks you want.
  2. Click Export at the top of the tasks table.
  3. The current table is downloaded for use in reporting or sharing outside SwiftFox.

Tips

  • Filter before exporting so the export contains only the rows you need.
  • Use Created By and Created on filters to review who has been logging tasks and when.
  • Use the Mentions filter to pull together every task tied to a particular Contact.
