Tagging Contacts (mentions & notifications)

Tag contacts in tasks using @mentions to notify users and link people or organisations.

Tagging (mentioning) Contacts links a task to the People or Organisations it concerns, even when those Contacts are not the assignee. Mentions are added in the Task name field.

How to tag Contacts

  1. Open the Create a task form (or edit an existing task).
  2. In the Task name field, type @ and search for the Contact you want to tag.
  3. Tag any relevant People or Organisations — they do not need to be SwiftFox users.
  4. Click Create.

What happens when you tag a Contact

  • Notifications — any tagged Contact who is a SwiftFox user receives a mention/notification.
  • Profile Tasks tab — every tagged Contact (user or not) gets the task listed on their profile under the Tasks tab.
  • Mentions column — all tagged Contacts appear as icons in the Mentions column of the tasks table.

Mentions vs assignees

  • A mention records that a Contact is relevant to the task. Mentioned Contacts can be People or Organisations and do not need to be users.
  • An assignee is the user or team responsible for completing the task. Only users and teams can be assignees.
  • A Contact can be mentioned without being an assignee — useful for tying a task to the customer, member, or organisation it relates to.

Notifications summary

  • Assignees are notified when a task is created or assigned to them.
  • Tagged users receive a mention/notification when they are tagged in a task description.
  • Tagged Contacts who are not users are not notified, but the task still appears on their profile Tasks tab.
