Create tasks from the Tasks screen using the Create a task button. The form lets you name the task, tag Contacts, set an optional due date and time, assign it, and (optionally) restrict who can see it.
Create a task
- Go to Tasks in the left-hand navigation.
- Click Create a task to open the task form.
- Name the task — type the Task name. You can @-tag Contacts (People or Organisations) directly in the Task name field; tagged Contacts do not need to be users.
- Set the due date and time (the Due date field is optional).
- Choose an assignee (see below).
- (Optional) Click Sharing permissions to control who can view or edit the task.
- Click Create. The assignee is notified and the task appears in the table.
Assigning to an individual
- In the task form, search the assignee dropdown and select the user you want to make responsible.
- Only users (and teams) can be assignees — a non-user Contact cannot be an assignee, though they can still be tagged/mentioned.
- When you create the task, the assigned user receives a notification that the task has been created/assigned to them, and the task appears in their My Tasks scope and on the Home page widget.
Assigning to a team
You can assign a task to a whole team so that all of its members pick it up.
- First, ensure a User Group has been set as a team. In User Group settings, toggle Set this role as a team.
- In the Create a task form, choose Team and search/select the team.
- All Contacts in that team are assigned the task.
- Set any Sharing permissions as needed, then click Create.
After creating a task
- The task appears in the tasks table under the relevant view (Today, Upcoming, etc.).
- The assignee is notified and sees it under My Tasks and on the Home page widget.
- Any tagged Contacts get the task on their profile Tasks tab and in the Mentions column.
- You can reopen the task at any time to edit its details, assignee, due date, or permissions.
