"This role is a team" and team assignment

Mark groups as teams to assign permissions and tasks collectively, simplifying access and workload management.

A user group can be marked as a team, which lets you assign permissions and tasks to the whole group at once rather than to individuals. This is controlled by the This role is a team checkbox on the group.

What "This role is a team" does

When a group is set as a team, you can:

  • Assign permissions to the entire group in one step (add the team to an item's permissions list instead of naming each person).
  • Assign tasks to the whole team rather than to a single user.

Ticking it also reveals the group's Group settings tab (default tags, restrict-new-items options and export limits).

Enable it on a group

  1. Go to Settings → Users & access → User groups.
  2. Open the group you want to use as a team (or create a new group with Add user group).
  3. Tick the This role is a team checkbox.

Use a team for assignment

Once a group is set as a team:

  • In an item's Edit permissions panel — under Add access for, choose User group and select the team to grant the whole team an access level.
  • When assigning a task — set Assign to → Team so every member is responsible rather than a single person.

Why use a team

  • Less maintenance — add or remove people from the group once, and every item and task assigned to that team updates automatically.
  • Consistency — the right group of people always has the access and the work, even as staff change.
  • Speed — grant access or assign work to many people in a single action.

Tip

Decide early which of your groups represent teams that need shared tasks and shared access, and tick This role is a team on those. Use ordinary groups (without the team setting) where you only need feature toggles and not shared assignment.
