Reset your password or enable two-factor authentication

  1. Go to Settings → My account.
  2. Select Password or Two-factor authentication.
  3. Follow the on-screen steps to complete setup.

View and filter Audit logs

  1. Go to Settings → Users & access → Audit logs.
  2. Use search to find text across columns.
  3. Apply filters (for example date or affected record).
  4. Sort columns; hide or pin columns as needed.
  5. For a single contact, open their profile → Quick Actions → Audit Log.

Manage users and group membership

  1. Go to Settings → Users & access → Users.
  2. Locate a user and review their username, email and groups.
  3. Add or remove them from User groups.

Create a user group and set permissions

  1. Go to Settings → Users & access → User groups.
  2. Click Add User Group and name it.
  3. In the drawer, toggle the required permissions.
  4. (Optional) Mark as Team to enable team assignment and default post restriction.
  5. Add or remove members.
  6. (Optional) Use the ⋯ menu to Set as default for first-time logins.

Set address tags

  1. Go to Settings → Data & records → Tags & categories.
  2. Open the Address tags tab.
  3. Create address tags as needed.

Set the default map address type

  1. Go to Settings → Organisation → General preferences.
  2. On the Profile & Display tab, under Default map address, choose the primary address type shown on the map.

Create a People/Organisation category type

  1. Go to Settings → Data & records → Tags & categories.
  2. Open the Person category or Organisation category tab.
  3. Click Add New Category Type.
  4. Enter a name and click Create.
  5. Click Select colour to set the colour.

Add default roles and titles

  1. Go to Settings → Data & records → Default roles & titles.
  2. Click Create to add a role title.
  3. Use the pencil icon to rename or delete entries.

Create a custom field

  1. Go to Settings → Data & records → Custom fields.
  2. Choose to add a field for the relevant record type.
  3. Name the field and choose its field type.
  4. Configure any options and save.

Manage post tags

  1. Go to Settings → Data & records → Tags & categories.
  2. Open the Post tags tab.
  3. Add or edit tags (for example Incoming Call).
  4. Use tags to segment posts and filter in Lists and the Posts Action Centre.

Manage document templates and event defaults

  1. Go to Settings → Features → Document templates to add or manage Word templates (generated from a profile or a list).
  2. Go to Settings → Features → Events to set the default call-up survey and add extra RSVP response options.

View text message numbers and senders

  1. Go to Settings → Communications → Text messages.
  2. Review configured numbers and custom senders.
  3. Contact SwiftFox Support to provision new numbers or sender IDs.

Update Company details

  1. Go to Settings → Organisation → Company details.
  2. Enter or update name, address, contact details, website, ABN and logo.
  3. Save — these values populate invoices and receipts.

Set invoice heading and footer

  1. Go to Settings → Finance & usage → Invoice settings.
  2. On the Document identity tab, choose the document title (for example Tax Invoice vs Invoice).
  3. Use the Footer design tab to add rich-text blocks, columns and dividers.
  4. Insert merge fields with @ (for example BPAY reference, member number).
  5. Save, then Preview.
