Matching imported records to existing records
Users can prevent duplicates by choosing how to match imported records with existing ones. Options include:
- Full Name and Contact Detail
- Full Name and Organisation Name
- Email Address Only
- Full Name Only
- Full Name plus Email
- SwiftFox ID
- Do Not Match (import as new records)
Skipping or limiting rows during import
Users have the ability to skip or limit rows when importing data.
Review the import summary
Before finalising the process, users can review a summary of the import.
Check spreadsheet row status
Users can see the status of all rows in the spreadsheet. This includes:
- Whether there were any matches in SwiftFox
- Any potential data conflicts
Confirm and proceed
Users can confirm the details and proceed with importing the data into SwiftFox.
Map the data in your spreadsheet
To map your data accurately in SwiftFox, follow these steps to align your data effectively:
- Select the relevant spreadsheet column.
- Assign the corresponding SwiftFox field to ensure proper data alignment.
Import both people and organisations or organisations only
Users can choose to import both people and organisations or limit the import to organisations only.
Upload contacts via a CSV file
Users can upload contacts using a CSV file. A sample CSV file is provided to help structure data correctly.
Select spreadsheet and match records
Users can select which spreadsheet to import. They can then determine how to match records to existing SwiftFox entries.
