Users can create custom discount codes with details such as percentage or fixed-rate discounts. These codes can:

  • Be limited by number of uses or expiry dates
  • Be applied to specific ticket types
  • Be tracked to view who has used them

For users with a SwiftFox website or Members Portal, events can be directly integrated.

Select the page for the event or RSVP form

Choose the specific page where the event or RSVP form will appear.

Choose whether the event should appear in the Members Portal

Decide if the event will be displayed in the Members Portal for members to view and interact with.

Select a cover image for the event tile

Pick an appropriate cover image to visually represent the event on the event tile.

Automatically recognise attendee details and tailor ticket availability

If the event is listed in the Members Portal, attendee details are automatically recognised. Ticket availability is customised based on criteria such as member category.

Add the event to a website via IFrame or API

If neither a SwiftFox website nor Members Portal is in use, the event can be integrated into a website by using an IFrame or API.

Name the SMS campaign

Provide a clear and descriptive name for the SMS campaign.

Select the sender name or mobile number

Choose the sender name or mobile number that the recipients will see when they receive the message.

Set send rules

Configure the campaign to ensure texts are sent only to those who have responded to the invitation.

Write the text message

Compose the text message, with the option to include name merge fields for personalisation.

Schedule the SMS

Plan the SMS timing based on the following guidelines:

  • RSVP Window: Responses will be accepted within 24 hours of the SMS send time.
  • Response Processing: RSVPs will be linked to events based on the attendee’s mobile number.
  • Attendance Tracking: The first valid RSVP response will update the attendee’s status.

Create an email campaign

Users can create an email campaign by setting up a name, sender details, subject line, and tracking information.

Set send rules

Users can configure send rules to ensure emails are only sent to those who have responded to the invitation.

Design the email

Users can design their email using the SwiftFox Emails design features.

Add an RSVP link

Users can include an RSVP link that directs recipients to the event RSVP page. The RSVP link can be customised and styled.

Include a location block

Users can add a location block showing the event location on a map.

Schedule the email

Users can schedule the email using standard, staggered, or SwiftPredict AI sending methods.

SwiftFox Events allows users to manage and customise events, from creation and ticket sales to guest invitations and event publishing.

Name the event

Provide a name for the event to identify it clearly.

Add a description

Include a description to give attendees an overview of the event.

Set dates, times, and time zone

Choose the event's start and end dates, specify the times, and select the appropriate time zone.

Select the event location

Decide where the event will take place:

  • Venue: Enter an address using Address Lookup.
  • Online: Provide an online meeting link or integrate with Zoom using a Webinar ID.
  • Hybrid: Input both an address and an online meeting link or Zoom Webinar ID.

Enable ticket sales

Allow ticket sales for the event and set up confirmation emails for ticket buyers.

Set an event capacity limit

Optionally, define the maximum number of attendees for the event.

Enable a waitlist

Activate a waitlist if the event reaches capacity. You can:

  • Limit the number of waitlisted users.
  • Add a custom message for those on the waitlist.

Add custom fields

Capture additional information by adding custom fields tailored to the event's requirements.

An RSVP page is a web-based form that can be used standalone or embedded on your website.

Create one or more RSVP pages

Users can create and manage RSVP pages for their events.

Design the page using SwiftFox Forms

Add event location

Add a contact block

Enable new registrations by adding a contact block. This creates new contacts in SwiftFox and automatically adds them to the invite list.

Add a Tickets block

Allow users to purchase tickets by configuring ticket options:

  • Set displayed ticket types.
  • Define minimum and maximum ticket purchase limits.
  • Apply conditional settings to show tickets based on specific responses.

Add a Payment Method block

Set up payment options for ticket purchases:

  • Choose a payment provider.

View the invite list in table view

Users can view the Invite List in table view, including key details such as name, invite status, organisation, email, mobile, and other customisable columns. For ticketed events, additional details include ticket type purchased, number of tickets, payment method, and payment status.

Filter and sort the invite list

Users can filter and sort the invite list by name, RSVP status, and ticket type.
