Event emails let you communicate with your invitees directly from the event. They are created with the same four-step email builder used elsewhere in SwiftFox, but with two event-specific capabilities: Send Rules (which target recipients by RSVP status) and AutoMail (which auto-sends an email to anyone added to the event later). Event emails appear on the Emails page marked with a party icon. Open them from the Emails tab of the event.
The four-step email builder
Click Create New Email and work through the four steps:
- Campaign — name and classify the email.
- Recipients — for event emails the recipients are the event's Invite List (the List Builder option is hidden here).
- Design — build the email on the email canvas.
- Schedule — choose when and how it sends.
Send Rules
Send Rules target the email at specific RSVP statuses so you reach the right segment:
- Attending — for example, reminders to people who said yes.
- Not Attending
- Attended
- Did Not Attend
- No RSVP — for example, nudges to people who haven't responded.
Design — useful event blocks
In the Design step, add event-relevant blocks to the email canvas:
- Location — show the event location.
- RSVP Link — link to the event's RSVP form (select the relevant form).
- Calendar — let recipients add the event to their calendar.
Scheduling
In the Schedule step you can:
- Send now, or Schedule for later.
- Use Swift Predict or Staggered sending, as with standard campaigns.
AutoMail
AutoMail automatically sends a chosen email whenever a contact is added to the event:
- Mark an email as AutoMail so that any newly added invitee receives it automatically (ideal for an Initial Invite).
- AutoMail does not interact with Send Rules. Use AutoMail for initial invites, and Send Rules for targeted, scheduled segments.
Managing emails
- Clone an event email to reuse it.
- Delete an event email you no longer need.
Sending an event email — step by step
- In Emails, click Create New Email.
- Complete the four steps: Campaign → Recipients → Design → Schedule.
- In Recipients, use Send Rules to target an RSVP segment (for example, Attending for reminders, No RSVP for nudges).
- In Design, add Location, RSVP Link (select the event's RSVP form), and Calendar blocks as needed.
- Send now or Schedule (including Predict or Stagger).
- (Optional) Mark the email as AutoMail so invitees added later receive it automatically (note: AutoMail does not combine with Send Rules).
