List Builder — Workflows: step-by-step

Create live member lists, convert to snapshots, export data and manage tags, RSVPs and geographic targeting.

These end-to-end workflows show how to combine the Details, Conditions, Results and Actions stages to achieve common goals. Each can be adapted to your own fields and segments.

A) Create a live list of current members over 50

  1. Go to Lists → Create List.
  2. Details: name your list; leave People selected.
  3. Conditions:
    • Rule 1 → Criterion 1: Subscriptions → Status → include → Member (example).
    • Criterion 2 (in the same rule): Profile Details → Age → greater than → 50. Ensure And is selected within the rule.
  4. Click Next to preview the Results; show or hide columns as needed for reporting.
  5. Go to the Actions stage and choose Save as fixed list (optional snapshot), or Export results, Bulk generate documents, or Update custom fields.

B) Convert a live list to a fixed snapshot

  1. In Lists, locate your list.
  2. Click the three dots → Convert.
  3. Confirm to create a fixed version that no longer updates.

C) Target contacts inside a custom geographic area

  1. Go to Create List → Conditions.
  2. Add a criterion and choose Draw Area on Map.
  3. Optionally choose Postal or Street address as the basis.
  4. Click New Selection, then choose Draw Polygon or Draw Circle and draw on the map.
  5. Save Selection; repeat to add multiple shapes if needed.
  6. Proceed to Results to review, then use Actions (export, etc.).

D) Export a report with specific columns

  1. Open an existing list and go to Results.
  2. Use the column visibility (eye) icon above the table to unhide only the columns you need.
  3. Go to the Actions stage and choose Export results.
  4. Wait for the bell notification; click it to download when ready. (The export includes only visible columns.)

E) Bulk add a tag via custom fields

  1. Build your criteria in Conditions (for example, form completers).
  2. Go to the Actions stage and choose Update custom fields.
  3. Choose the custom field, select Add (or Remove), set the value, and confirm to update all results.

F) Build an event RSVP follow-up list

  1. Go to Create List → Conditions.
  2. Add Events → Event Name (select the event).
  3. Add another criterion in the same rule: RSVP Status (for example Yes / No).
  4. Use And logic within the rule.
  5. Preview in Results and act in Actions (Documents mail merge PDFs, export, etc.).
