Common questions about building and using lists in SwiftFox.
What's the difference between a live list and a fixed list?
Live lists update automatically as data changes; fixed lists are snapshots that do not change. You can convert a live list to fixed via the three-dot menu → Convert.
Where do I find lists and how do I create one?
Go to Lists from the left-hand menu, then click Create list. Name it, choose People or Organisations, then define your Conditions, review the Results, and pick your Actions.
Can I copy an existing list?
Yes — use Clone from the three-dot menu to duplicate a list's criteria and setup, then adjust what is different.
How do AND/OR rules work?
You can set And/Or both within a rule (between criteria) and between rules. Example: Member AND Age > 50; or Member OR Resigned.
Which fields can I filter on?
Profile details, custom fields, location lookup, select areas on map, draw area on map, organisation connections, email campaigns, existing lists, forms / surveys / petitions, posts, events, subscriptions, receipts, and (where available) stakeholder leader and goals. Operators vary by field — for example include / exclude / is empty for text and list fields, date operators, and numeric operators (is, less than or equal, greater than or equal, greater than, less than).
Why is someone missing from a location-based list?
They may lack a geocoded address. Location filters only include contacts with a geocoded address.
Why does a person appear more than once in a location-based list?
Contacts with multiple addresses may match multiple location criteria, so they can appear more than once.
How do I tailor a CSV export to just the columns I need?
In Results, use the eye icon above the table to show or hide columns. Exports include only the visible columns.
Can I bulk-update data for everyone in a list?
Yes — Update custom fields lets you add or remove a field and set a value across all results.
Can I add everyone in a list to an organisation?
Yes — Add people to organisation in the Actions stage attaches all results to the chosen organisation with a relationship.
How do I generate personalised letters for a list?
Use Bulk generate documents in the Actions stage. Upload your Word template via the Word add-in settings, then generate a document per contact with the mail merge fields filled in.
How do I build an RSVP follow-up list for an event?
In Conditions, select Events, then choose Event Name and RSVP Status (Yes / No, etc.). Use AND logic, then proceed to Results and Actions.
How do I quickly access important lists?
Click the Pin icon to push a list to the top of the page.
Can I cancel a list download?
No. Once a list download starts it cannot be cancelled. It continues in the background until it finishes.
