SwiftFox Forms lets you create, manage, share, publish and report on forms whose submissions flow directly into your SwiftFox account. Use Forms to capture survey responses, update Contacts, take payments, create subscriptions, embed on websites (including Umbraco), generate posts and feeds, and export results to CSV.

Forms are built with a drag-and-drop editor (similar to the SwiftFox email builder) and submissions can update contact profiles, drive activity posts, and integrate with finance and membership features.

Opening Forms

  1. In the left sidebar, click Forms.
  2. The main Forms screen opens, showing a table of every form you have created.

Visibility of the Forms menu depends on your user permissions. If you cannot see Forms in the sidebar, contact your administrator to have the relevant permission enabled.

The Forms list

The main Forms screen is a table listing all of your forms. From here you can:

  • Create New Form — start building a new form.
  • Search — find a form by name.
  • Filter — narrow the list to matching forms.
  • Sort — reorder the list (for example, by name or by date).
  • Use the three-dot menu on any row to Edit, Rename, Clone, Set as template, or Delete the form. Set as template saves a reusable copy of the form — see Forms — Form templates. To export a form's responses to CSV, use the download icon on the row (or the Export responses button in Step 2 – Preview & Publish) — see Managing & exporting forms.
  • The Type column shows what each form is: Standard, Event RSVP, Standard Template or Event RSVP Template.

Creating a new form

  1. On the Forms list, click Create New Form.
  2. In the Create new form dialog, enter a Form name.
  3. Optionally open Start from a template (optional) and choose a saved template to base the form on. The list is grouped by Current Circle and Other Circles. Leave it empty to start from a blank form — see Forms — Form templates.
  4. Click Create form.
  5. The form opens in Step 1 – Design, where you build the form on the canvas (see The form canvas & global style).

How forms are structured

Every form is built across two steps you move between using the top-right navigation:

  • Step 1 – Design — the drag-and-drop canvas where you add and configure form blocks, set global style, and write the success page.
  • Step 2 – Preview & Publish — where you share, embed, set expiry, generate per-individual links, view the Report tab and the Feed tab, and access API details.

Finding forms quickly

Use Search, Filter and Sort on the Forms list to locate a form when you have many. Search matches the form name; combine with Sort to keep frequently used forms near the top.

Saved views on the Forms table

Above the Forms table is a row of view tabs. Each is a saved view that remembers its own filters, sort order and hidden columns — for example a Templates view alongside the Default view. Switching tabs switches what the table shows.

Saved views are shared across your organisation — everyone sees them, and anyone with the Manage Saved Views permission can change them.

For the full detail — creating a view, saving changes, renaming, duplicating and deleting, and the permission that controls it — see Saved views on the Emails, Forms and Events tables.
