Event tickets

Create, customise and manage event tickets with pricing, criteria and financial settings.

Tickets turn an event into a ticketed event so contacts can register and (for paid events) pay. The Tickets step only appears if you enabled Tickets in the event's Settings dropdown (see Creating an event). On the Tickets step you create one or more ticket types, optionally restrict who can see them, and set the financial details that flow through to invoicing.

Ticket types

When you click New ticket, choose the ticket type:

  • General ticket — a single seat per purchase.
  • Group ticket — one purchase that allocates multiple seats. For example, a Table of 5 assigns 5 slots per purchase, which can then be allocated to individual contacts.

Basic ticket fields

For each ticket, set:

  • Ticket name — the ticket name shown to registrants.
  • Price — the ticket price.
  • Ticket capacity — how many of this ticket are available.
  • Show ticket — toggle whether the ticket is visible.
  • Add ticket description — toggle on to add extra detail about the ticket.

Advanced ticket criteria (List Builder)

You can restrict who is able to see a ticket so that only eligible portal users see it. A ticket with no restrictions shows no conditions in the Eligibility column on the Tickets step.

Adding criteria

  1. On the Tickets step, open the ⋮ menu on the ticket and choose Edit.
  2. Under Advanced ticket settings, click Add Ticket Criteria. A criteria row named New criteria is added.
  3. Select the row to open the Select the criteria for ticket eligibility drawer.
  4. Build the criteria using the same rules, criteria and And / Or logic as the List Builder — for example custom fields, contact details or subscriptions. Use Add Criteria to add conditions to a rule and Add New Rule to add another rule.
  5. Close the drawer and click Save ticket.

Only contacts who meet the criteria see the restricted ticket on the RSVP page — for example a members-only ticket.

Naming criteria

Each criteria set has an Eligibility criteria name field at the top left of the drawer, which defaults to New criteria. Give it a name that describes who it lets through, so the set is recognisable when a ticket carries more than one.

Editing and removing criteria

Open the ticket with ⋮ → Edit and go to Advanced ticket settings, where any existing criteria are listed beneath the Add Ticket Criteria button.

  • To change a criteria set, select its row to reopen the eligibility drawer and adjust the rules.
  • To remove a criteria set, hover over its row and click the delete icon.

Save the ticket with Save ticket once you are finished.

Financial ticket settings

Open Financial ticket settings to align the ticket with SwiftFox invoicing and the Xero Integration:

  • Item — the line item used for invoicing the ticket.
  • Account — the account used for invoicing the ticket.
  • Tax rate — the applicable tax rate.
  • Tracking categories — the tracking codes used for invoicing. These come from your Xero tracking categories, so the labels vary by account (for example Location and Department).
  • Tax inclusive checkbox — whether the price is tax inclusive.

Save the ticket when finished with Save ticket.

Managing existing tickets

Each ticket has a per-ticket menu and icons:

  • Edit / Clone / Delete — manage the ticket from its menu.
  • Eye icon — view the purchasers of that ticket.
  • Capacity icon — view allocations against the ticket's capacity.

Creating tickets — step by step

  1. In the Tickets step, click New ticket and choose General ticket or Group ticket.
  2. Enter Ticket name, Price, and Ticket capacity, set Show ticket, and optionally toggle Add ticket description.
  3. (Optional) Under Advanced ticket settings, click Add Ticket Criteria to restrict visibility via List Builder.
  4. Open Financial ticket settings to set Item, Account, Tax rate, tracking categories, and the Tax inclusive checkbox.
  5. Click Save ticket.
