Event sessions

Manage event sessions, assign staff/volunteers and export rosters

Sessions let you break an event into separate time blocks. They serve two purposes:

  • Internal scheduling — for example volunteer rosters, room schedules, or staff shifts within a larger event.
  • Attendee-facing session RSVP — let attendees choose which sessions they will attend when they RSVP (see The RSVP page).

The Sessions step only appears once you enable Sessions in the event's Settings (see Creating an event).

Enabling sessions

  1. On the event's Details step, expand the Settings section.
  2. Turn on Enable sessions for the event.
  3. A Sessions step is added to the event builder.

Adding a session

  1. Open the Sessions step of the event builder.
  2. Click New session.
  3. Enter a Session name.
  4. Set the Session Timing — a start and finish date/time. These must fall within the event's overall start and end dates/times.
  5. Click Save session.

Repeat for each session you need. Saved sessions appear in a list showing the session name and its timings.

Viewing and assigning users

The eye icon on a session row opens an Event Session panel for that session, which is both a viewer and the place you assign people:

  • Add a person — use the Type to search field at the top. Adding a person here adds them to the event and to that session.
  • The table below lists everyone currently assigned, with columns for Name, Invite Status (editable inline via a dropdown), Email, Mobile and Organisation.
  • The panel has its own Search, Filter, Sort, column visibility and Export controls, so you can export a single session's roster on its own.
  • Each person's row menu offers View or Remove.

The three-dot menu on a session row (beside the eye icon) offers Edit session, Clone session and Delete session. Clone is useful for building repeated blocks such as volunteer shifts that differ only by time.

Letting attendees RSVP to sessions

Once sessions are enabled, you can let attendees pick sessions on the RSVP form:

  1. In the RSVP Page, open the RSVP block's settings.
  2. Turn on Allow users to select sessions to RSVP to.
  3. Set the Session label, whether Session selection is required, whether to Show session date/time, and an optional Session question description.

Attendees then choose their sessions from a dropdown when they RSVP. Full step-by-step detail is in The RSVP page.

Seeing session RSVPs

When sessions are enabled, the invite list gains one column per session, each headed with that session's name. Each cell is a dropdown showing Yes or No for that person, with an option to clear the value.

  • An empty cell means no answer has been recorded either way; No means the person has actively declined that session.
  • Because they are ordinary columns, each session can be sorted, filtered and exported independently — filter a session column to Yes to get that session's attendee list.
  • You can also set or change a person's session attendance directly in these cells without opening the session.

When to use Sessions

  • Attendee-selectable sessions within a single event (via session RSVP).
  • Internal session assignments such as volunteer or staff schedules.
  • Room or stream schedules for multi-track events.
