Emails — Workflows: step-by-step

Configure a sending domain, build and send email campaigns, then track opens, clicks and history.

A. Configure a sending domain

  1. Go to Settings → Communications → Email settings.
  2. Click Add domain and enter your domain.
  3. Copy the generated DNS records and add them to your domain host.
  4. Once verified, you can send from your own domain.

B. Create & send a standard campaign

  1. Open Emails and click Create campaign → pick a template or choose Create blank campaign.
  2. Campaign: enter a Campaign name → choose a Campaign Category → Select tags → (optional) Use A/B Testing and set the A/B split, success metric (open or click rate) and duration → Next.
  3. Recipients: Choose a list (use Edit in Lists to adjust it) → (only if lawful) tick Send to unsubscribed contacts → set Sender name and Sender email address (optionally switch on Stakeholder leader name/email and set a fallback) → confirm replies go to the sender, or set a Reply-To → enter the Subject line (with merge fields) and Preview text → (optional) add Advanced Tracking Options → Next.
  4. Design: drag in content blocks (include the Unsubscribe Link block); use the Survey block to link a Form (don't add Add/Update Contact blocks); apply a template or style; add attachments; Preview with a sample contact and send a Test Email → Next.
  5. Schedule: choose Standard, SwiftPredict (requires 5+ opens) or Staggered (set Total duration, Slot duration and an optional Blackout period).
  6. Click Send or Schedule (top-right), then monitor results on the campaign page and via Dashboards.

C. View one-to-one emails in the list

  1. In Emails, open Filters.
  2. Remove the Owner Type — exclude — Person filter.
  3. Individual emails sent from contact records now appear.

D. Find who clicked a specific link

  1. Open the completed campaign.
  2. Go to the Links tab.
  3. Click the link to see total clicks and the list of contacts who clicked; jump to their records as needed.

E. Re-use a campaign design

  • In the builder, click Save as template and name it; or
  • In the campaign list, use the ⋯ menu → Clone to duplicate a campaign's details and design into a new campaign.

F. Check a contact's email history

  1. Open the contact record → Insights tab.
  2. Review the engagement graph, or open Detailed Stats for a table of campaigns with Delivered / Open / Click status and timestamps.
