Sooner or later you'll need to take a payment from a member, and SwiftFox gives you two ways to do it right from their profile. Knowing which is which will save you a massive headache.

In this lesson, we'll focus on making a real payment, actually charging money then and there. We'll cover the difference between making and recording a payment, when to use each, how to take a real live payment and what happens to the invoice afterwards? Let's dive in.

Open the member's profile. Select the financial tab and find the receipts table. At the top you'll see two buttons Make payment and Record Payment.

Make payment charges a real payment now through a saved payment method like a card or direct debit, so money actually moves.

Record payment logs a payment that's already happened another way. Cash or cheque say, or one that you've sent out. Nothing is charged, you're just recording it.

Select Make payment. The panel opens on charge. That's the side you want. Since you're taking money in. Send money beside it does the reverse. Paying money out to a saved payment method for refunds and disbursements.

On the charge side, choose the payment type for a membership that's subscription. Under link to subscription, pick the subscription this payment is for such as Full rate so it pays down the right invoice. Check the amount and effective date and add a note if it helps.

Under charge, select the member's saved payment method. You'll only see live methods here because this is a real charge. Select charge to process it. SwiftFox runs the payment through your gateway and creates a receipt because you linked it to the subscription. It pays down that invoice, moving it towards paid and pushing the members paid-to-date forward automatically.
