How resources are shared between Circles, so national or head-office teams can push resources out without each branch recreating them. The general rule: resources created at a higher level flow down to the Circles beneath, and data is always scoped to the viewer's own Circle.
Sharing down the hierarchy
- Global Circle. Resources created in the Global Circle — lists, email templates, forms — are automatically available to every Circle in the account.
- Hubs. Resources created at Hub level are automatically shared down to all Workspaces within that Hub. Because Hubs can be nested, resources created at a higher Hub level flow down through every layer beneath.
- Email templates. A template created in a parent Circle or the Global Circle is automatically available to all Circles beneath it. To make a template available across the whole organisation, create it in the Global Circle.
Data is always scoped to your Circle
Sharing a resource shares its definition, not other Circles' data. When a user in a lower-level Workspace opens a shared Global list, they see only the Contacts belonging to their own Circle. The list criteria are shared, but the records returned are always limited to that user's permitted Contacts.
Sharing specific resources
- Lists can be shared with specific Circles from the Preview and Publish step when building the list.
- Forms can be shared across Circles.
- Dashboards can include criteria that factor in the current Circle — for example a condition such as matching current Circle, or if Circle is Global, show all — so you can build one dashboard that adapts to each level of the structure.
Automations and Circles
Automations are Circle-aware and act on Contacts within the Circle they were configured in. After setting up or changing Circles, test your automations to confirm they are scoping correctly.
Posts on Contact profiles
Posts made on a Contact's profile are visible to any Circle that has access to that Contact — they are not automatically restricted to the Circle in which they were created. If you need to restrict a post, apply permissions to it directly.
