Saving & reusing mapping profiles

Save, share and reuse column mapping profiles for recurring data imports.

A mapping profile saves your column mappings and import settings so you can reuse them on future imports of the same kind of file. This is ideal for recurring imports, where the spreadsheet layout stays the same each time.

Mapping profiles are shared

Saved profiles are visible to everyone in your account, not just to you. You will see profiles your colleagues have created, and they will see yours.

Two things follow from that:

  • Give profiles names that make sense to other people, not just to you.
  • Before you reuse someone else's profile, check the mapping table against your own file rather than assuming it was built for the same export.

What a mapping profile stores

A saved profile remembers:

  • Your column-to-field mappings — which spreadsheet column fills which SwiftFox field.
  • Your import settings from Step 2.

Reusing a profile means you do not have to check and correct every column by hand each time.

Saving a mapping profile

There is no separate save button. You name the profile, and it is saved with the import.

  1. Configure your mappings in Step 2 — Match columns and confirm the mapping table is right.
  2. Under Create a new profile of your mapped data, type a name into the Profile name field.
  3. Continue with the import. The profile is stored under that name and is available on future imports.

Using a saved mapping profile

On a later import, once you have uploaded a file with the same layout:

  1. In Step 2, open Select a saved profile of your mapped data and choose your profile from the Apply an existing column mapping profile dropdown.
  2. The Importer applies the saved mappings and settings.
  3. Review the mapping table to confirm everything still lines up with your current file, then continue.

Tips

  • Name profiles clearly by source and purpose — for example, "Monthly membership export" — so the right one is easy to find in a list that everyone contributes to.
  • Keep your export or spreadsheet format consistent between imports so the saved profile keeps matching your columns.
  • If you add new columns or change headings in your source file, re-map and save under a new profile name rather than working around a profile that no longer fits.
  • Always glance over the mapping table after applying a profile. A changed column order or heading can shift a mapping, and the automatic mapping will not necessarily catch it.
