Quick actions on a profile

Send email, text, call, create tasks, generate docs, run surveys and view activity logs for contacts.

Every Contact profile shows a set of quick actions beside the business card. They let you act on a contact — communicate, task, document and record — without leaving the profile. The exact set depends on the contact type: People show the full set, while Organisations show a reduced set.

Send email

Send an email directly to the contact.

  1. Choose Send email.
  2. Check the Recipient email, and the Send to unsubscribed contacts checkbox directly below it. That checkbox is ticked by default — clear it if the contact's unsubscribe should be honoured. See Contacts & Roles: contact details, unsubscribe, addresses and geocoding.
  3. Set the Sender name and Sender email address, and optionally Send replies to this email address or Add CC and BCC.
  4. Enter a Subject line.
  5. Choose how to compose the Email body:
    • Plain text — a simple typed message.
    • Browse text templates — start from a saved text template, or Save as text template to keep the one you have written.
    • Go to full builder — design the email on the drag-and-drop canvas.
  6. Optionally add Attachments, then send.

Send text

Send an SMS and view the full two-way conversation.

  1. Choose Send text.
  2. Type and send your message.
  3. The full two-way history of texts with this contact is shown.

If you can't send a text, confirm a number is configured in your Text messages settings.

Make call

Log and place an outbound call.

  1. Choose Make call.
  2. Choose your outbound number.
  3. Choose the contact number to dial.
  4. Choose the form to complete during the call.
  5. Place the call and complete the form as you speak.

Create task

Create a task linked to the contact.

  1. Choose Create task.
  2. Fill in the task details and assignee.
  3. Save. The task is tagged to this contact and appears on their Tasks tab.

Generate document

Produce a personalised Word document.

  1. Choose Generate document.
  2. Choose the template; SwiftFox uses the Word plugin and mail merge to pull in values from the profile — including profile, financial and custom fields.
  3. Generate the document.

Complete survey

Submit a survey on the contact's behalf.

  1. Choose Complete survey.
  2. Select the survey.
  3. Fill it in and submit.

If the survey contains Add/Update Contact blocks, the contact's profile is updated with the submitted values (including custom fields).

View activity log

Open the contact's activity history — the record of changes and actions logged against the profile — without leaving the profile.

  1. Choose View activity log. A panel opens with the same name.
  2. Use Search, Filter and Sort to narrow the history.

The panel lists one row per logged event, with columns for Date, User, Circle, Activity Type, Description, Field, Old Value and New Value. Activity Type describes what happened — a viewed record, a changed field, or a value added to or removed from a list — and Field, Old Value and New Value are populated where the event was a change to a specific field.

Seeing View activity log requires the appropriate permission on one of your user groups — if the quick action is missing, ask your system administrator to grant access. In customer-facing writing this is the activity log; audit log refers to the account-wide Audit logs page under Settings → Users & access, which records the same kind of history across every record — see Audit logs (system-wide).

Other quick actions

  • Customise card — choose which fields appear on the business card (this applies globally to the contact type — see The profile business card and tabs).
  • Set permissions — grant a user or group access to this contact (Full access / View & Edit / View only).
  • Merge profile — merge this contact with a duplicate (requires merge/delete permissions — see Merging duplicate contacts).
  • Guest access — give this contact a limited guest login for a specific event, or change the email address or mobile number they log in with. See Guest access (giving a contact a limited login).
  • Delete Person / Delete Organisation — permanently remove the record (requires the relevant permissions).

People vs Organisations

People show the full set of quick actions above. Organisations show a reduced set — typically Make call, Create task, Complete survey, View activity log, Customise card, Set permissions, Merge profile and Delete Organisation.
