Generating an individual document from a contact

Generate a personalized Word document for a contact using a template, review and edit fields, then download it.

You can produce a single, personalised document for one contact directly from their profile. This uses a template built with Template fields and pulls data straight from that contact.

Before you start

  • Make sure the template you want has been uploaded to Settings → Features → Document templates.
  • Make sure the template was built with Template fields (the type used for individual, profile-based documents).

Generate the document — step by step

  1. Open the People profile of the person you want the document for.
  2. In Quick Actions (top-right of the business card), click Generate document.
  3. Select a valid template — one you have uploaded.
  4. A drawer opens showing every detected field and the values pulled from the contact's profile. Review them:
    • Fields with no data are highlighted so you can spot what's missing.
    • You can manually enter or adjust values inline — even for fields that already have a value pulled in.
  5. When you're happy with the values, click Create document.
  6. SwiftFox adds a post to the contact's profile, authored by you, noting that a document was generated.
  7. Click the Word document link in that post to download the generated file.

Reviewing and overriding values

  • The drawer is your chance to check the document before it's created. Every field that the template uses is shown with its current value.
  • Empty fields appear highlighted, making blanks obvious before you generate.
  • You can type a value into any field, or change an existing value, so the finished document is exactly right for this contact. Changes here apply to the document only — they do not update the contact's profile.

The audit trail

  • Every individual generation logs a post on the contact's profile, attributed to the person who generated it.
  • The post includes a link to download the generated Word document, so there's a clear record of what was produced and when.

After generating

  • Download the Word document from the post link.
  • If you need to send it, you can attach it to an email (see Reusing generated documents in Emails).
