Design Word docs with SwiftFox fields, generate personalized contacts or bulk documents, and attach them to emails.

Documents lets you design Microsoft Word documents and pull data straight from SwiftFox into them, so you can produce personalised, on-brand documents without retyping contact details. You build the document in Word using the SwiftFox Templates add-in, insert fields that map to SwiftFox data, upload the finished template into SwiftFox, then generate completed documents from a contact's profile under People.

What you can do with Documents

  • Design Word documents that automatically fill in contact, finance and custom data.
  • Generate a single, one-off document from an individual contact's profile.
  • Generate documents in bulk for a whole list using List Builder.
  • Keep all your templates organised in folders inside Settings.
  • Reuse the documents you generate by attaching them to Emails.

How the pieces fit together

  • The Word add-in (SwiftFox Templates): where you design the document and insert SwiftFox fields. You sign in to your SwiftFox account from the add-in's right-hand pane.
  • Settings → Features → Document templates: where finished Word templates are uploaded, organised into folders, and managed.
  • People: an individual document is generated from a contact's profile via Quick Actions, and the result is logged as a post on that profile.
  • List Builder: drives bulk generation, producing one personalised document per contact in the list.
  • Emails: generated documents can be attached to outgoing emails.

Two field types — choose the right one

When you design a template you insert one of two field types, and the type must match how you intend to generate:

  • Template field — for individual documents generated from a single contact's profile.
  • Mail merge field — for bulk documents generated through List Builder.

Using the wrong field type for the generation method will not work as expected, so decide up front whether the template is for individual or bulk use. This is covered in detail in Template field vs mail merge field.

The typical journey

  1. Install the SwiftFox Templates add-in in Word and sign in.
  2. Design your document and insert the correct fields.
  3. Upload the template to Settings → Features → Document templates.
  4. Generate a document — either from a contact's profile, or in bulk from List Builder.
  5. Download the result, and optionally attach it to an email.
