Creating a call list (Survey → Audience → Review)

Create a call list using Survey → Audience → Review, manage exclusions and queue contacts with phone numbers.

Open Calls from the left navigation to reach the Calls landing page, then click Create call list (top-right of the page; a Bulk call list button sits beside it). Call lists are built in three steps: Survey → Audience → Review.

Step 1 — Survey

This step names the list and attaches the Survey (a Form) your team will fill in on every call.

  • Enter a Call list name — this is how the list appears on the Calls landing page, so make it descriptive (e.g. 2026 Renewal Outreach).
  • Use the Survey dropdown (Select a survey) to choose the Form to use during calls. Forms are grouped under your current Circle. The Survey you choose here appears in the right-hand pane of the in-call console for every Contact, and its responses are saved to each Contact as you complete them. The helper text confirms: "This survey form will be used for call outcomes."
  • Click Next.

Step 2 — Audience

This step defines who will be in the call queue. You build the audience from existing Lists, individual people, or both — all from one search box.

  • In the Search for lists or people to add box, start typing. Results are grouped into Lists (live lists are marked with a Live badge) and People.
  • Select a List or a person, then click + Add. Added entries appear in the table below with their Name and a Phone Contacts count.
  • Repeat to combine as many Lists and individuals as you need. When you add a List, SwiftFox queues every member of that list who has a phone number — the Phone Contacts count shows how many that is. Contacts without a phone number are not added.
  • Optionally set a recently-called exclusion (see below).
  • Click Next.

Excluding people you have called recently

Use this to stop the same people being called again while a campaign is running.

  1. On the Audience step, tick Exclude contacts and phone numbers called in the past.
  2. Choose the period from the dropdown beside it: 24 Hours, 48 Hours, Week, Fortnight, Month or 3 Months. Month means 30 days and 3 Months means 90 days, rather than calendar months.

Once ticked, the helper text confirms "Applies when calls are made. Matches are skipped and never shown." — excluded people are not removed from the list, they are simply passed over as the queue is worked, so the audience counts you saw when building the list do not change.

The exclusion looks at both the contact and the phone number, so someone reached on a shared number is caught even if they were called under a different record.

Exclusion settings

Select the cog beside the period dropdown to open Exclusion settings, which control how the window is measured. The panel explains the current choice in plain terms — for example "You're excluding anyone called in the past 24 hours. These settings change how that's measured."

Under Measure from, choose one of:

  • The moment you call — "Each recipient is checked as they're loaded. The window moves as you work the list." Use this for ongoing calling, where you want a rolling window that keeps pace with the team.
  • A fixed point in time — "Everyone is judged against the same moment, however long the list takes to build or call." Use this when a list should be judged against one cut-off, such as a campaign that must not re-contact anyone called before it started.

A summary line at the foot of the panel restates the effect (for example "Skipping anyone called in the 24 hours before each call is loaded."). Use Save settings to apply, Cancel to close without changing anything, or Reset to defaults to go back to the standard behaviour.

Step 3 — Review

This step confirms the queue before it's generated.

  • Review the Summary — the List (call list name), the Survey name, and the Number of contacts (shown as a recipient count).
  • Click Finalise list to generate the queue.

Opening your new call list

After finalising, your list appears on the Calls landing page. Click the Start call button (the phone icon) beside the list to open the in-call console and start working the queue.

Tips

  • Build your audience List first (in Lists) so the right Contacts — with phone numbers — are ready to add.
  • Because only Contacts with a phone number are queued, check the Phone Contacts count when you add a List if you expect a specific number.
  • Choose your Survey carefully — its completion drives the Post and any linked field updates on the Contact.
