Settings is the central area where you configure account security, user access and permissions, system-wide classifications, your organisation's company and finance details, and the infrastructure behind features such as People & Organisations, Events, Emails, Text messages, Lists, Forms, Posts, Pipelines, Projects, Finance and Tasks.

Most options here control what other users can see and do, and how records behave across the whole account. Settings opens on My account, and a Search settings box sits at the top of the left-hand menu — it finds a page by its name, by a previous name, or by a section (tab) within a settings page.

How Settings is organised

Settings is grouped into eight areas. The pages in this guide map to those areas:

  • My account — your personal security: Password and Two-factor authentication.
  • Organisation — Company details, Brand hub, General preferences, and Feature menu.
  • Users & access — Users, User groups, and Audit logs.
  • Data & records — Profile fields, Custom fields, Tags & categories, Default roles & titles, Circles, Campaign periods, and Target areas.
  • Features — configuration for Cases, Events, Visits, Action centres, Accreditation, Document templates, the Login Portal, and Websites.
  • Communications — Email settings, Email signatures, Campaign categories, Email preferences, and Text messages.
  • Finance & usage — Plans, Plan add-ons, Invoice settings, Payment methods, Payers, Financial settings, Tracking categories, and Wallet.
  • Integrations — Xero integration, XPM integration, and API keys. Creating and managing API keys is covered in full in the API keys — create & manage keys for the SwiftFox API guide.

Detailed guidance for some pages

Email configuration under Communications (sending domains and DNS, campaign categories, email tags, and the Email preferences page) is covered in full in the Emails guides. The Login Portal page under Features — member login access, portal access permissions, portal profile fields, subscription management and portal events — is covered in the Login portal guides.

Permissions drive what you see

Access to Settings, and to individual pages within it, is controlled by User groups. The Admin permission grants access to Settings itself; other permissions (for example Manage Custom Fields, Manage Tags, Manage Event Settings, Manage Documents) control individual configuration pages.

If you cannot see a Settings page described in this guide, ask your system administrator to grant the relevant permission to one of your user groups.
