There are several ways to create Contacts in SwiftFox. Most start from the + button in the top-right of the screen, which opens the Create panel; contacts can also be created automatically from Forms.
Add Person or Scan Business Card
Use this to create a single individual contact — either by typing their details or by scanning a business card. Both live behind one option.
- Click the + in the top-right of the screen to open the Create panel.
- Choose Add Person or Scan Business Card.
- To scan a card, drag and drop an image into the Business Card area at the top of the panel, or select a file from your device. SwiftFox reads the card and pre-fills the fields below — review and correct the extracted details.
- Under Person Details, enter the person's details (at minimum a first and last name; add email, phone and mobile as available).
- Leave Make me the Stakeholder Leader of this record turned on if you want to be recorded as the contact's stakeholder leader.
- Save. The new Person profile opens, ready for further details, custom fields and relationships.
Add Organisation
Use this to create a group record.
- Click the + in the top-right to open the Create panel.
- Choose Add Organisation.
- Enter the organisation's name and details.
- Save. The new Organisation profile opens.
Note: We recommend keeping Organisation names unique — duplicate names make organisations hard to tell apart in Swift Search and lists.
Importer (bulk import from CSV)
Use the importer to create many contacts at once.
- Click the + in the top-right to open the Create panel.
- Choose Import Data (this option appears only if you have permission to import).
- Upload your CSV file of contacts.
- Map the columns in your file to the matching SwiftFox fields (including custom fields).
- Review and confirm, then run the import to create the contacts in bulk.
Create contacts via Forms
People can be created or updated automatically when someone submits a Form.
- Build a Form that includes an Add/Update Contact block.
- Publish the Form and share it (or embed it).
- On submission, SwiftFox matches the entry against existing People on First name + Last name + Email: - If a match is found, the existing Person is updated with the submitted values (including custom fields). - If no match is found, a new Person is created.
Matching on First name + Last name + Email helps prevent duplicate records while still capturing new contacts. The same Add/Update Contact behaviour applies when a survey is completed on a contact's behalf via the Complete survey quick action.
