Keep these limitations and recommendations in mind to get the most from the Communications Wallet.
Current limitations
- Auto top-up is per wallet, not per channel. A single rule (threshold and amount) covers all usage drawn from that wallet. You cannot set separate rules for Emails, Text messages or Calls.
- Auto top-up is event-driven, not scheduled. It only fires at the moment a send reduces the balance below the threshold. A low balance with no recent send will not trigger a top-up.
- Calls (VoIP) don't link to a target person. Call records store the dialled number only, not the target profile. Emails and Text messages do link back to their source profile or campaign.
- The Monthly Summary shows usage spend only. Top-ups are not included there — they are tracked in the Daily Summary instead.
- Refunds aren't self-service. Refunds on top-ups must be handled by SwiftFox Support; they cannot be processed from the wallet.
- Wallet configuration changes require SwiftFox. The configuration model (account-wide, per-Circle, shared global), credit limits and Circle wallet setup are configured by SwiftFox, not in the wallet UI.
- Individual sends and automations are never blocked. Even with insufficient funds, one-off Emails, one-off Text messages, background automations and in-progress Calls continue, and the usage is charged once funds are available — so a zero balance does not fully stop spend.
Best practice
- Use auto top-up with a sensible threshold and amount so campaigns are never blocked mid-send. Match the top-up amount to your typical send volume.
- Enable email receipts on auto top-up so finance has a complete record of every charge without checking the wallet.
- Keep at least one current card on file and check it before large sends — an expired card is the most common cause of auto top-up failure.
- Review the Detailed Activity and summaries regularly and export to CSV for reconciliation against invoices.
- Confirm the correct Circle is selected before topping up or managing cards if you use wallet-per-Circle, so funds and cards land in the right place.
- Consider a credit limit (configured by SwiftFox) as a buffer so essential campaigns can still send briefly when the balance hits zero.
- Account for fees when budgeting — the total charge includes GST and card processing fees on top of the credited amount (for example, ~$28.27 charged for a $25 top-up).
- Send compliantly. The wallet funds outbound Emails, Text messages and Calls — ensure all sends comply with the Spam Act and relevant laws.
