Each case has its own sharing permissions. These control who can see the case and, by inheritance, everything created inside it.
Set sharing on a case
- While creating or editing a case, click Sharing permissions (top right of the case drawer).
- Choose who should have access. You can add individual users, user groups and circles, and set an access level for each. Presets are available for Everyone, Current Circle and Only me.
- Save the case.
Only the users, groups and circles you select can see the case and its contents.
Inheritance to posts
When you create a post under a case, the post automatically adopts the case's sharing permissions. You do not have to set permissions on each post individually — the case's settings flow down to keep the data secure.
- Posts in a case behave like standard posts and also appear on the Home feed, but they remain visible only to those who have access to the case.
- You can still view or change an individual post's sharing if a specific post needs different visibility.
Why this matters
- Sensitive interactions stay restricted to the right people without manual effort on every post.
- Anything added to the case — notes, emails, documents captured as posts — is protected by the same permissions by default.
Notes
- Assignment and sharing are separate: assigning a case to a user does not by itself grant other users access; access is controlled by the sharing permissions.
- Because permissions inherit automatically, double-check the case's sharing before adding sensitive posts, since new posts will take those settings.
