SwiftFox is an off the shelf platform, but we do things differently. Instead of leaving you to work everything out on your own or asking you to hire expensive consultants, we work with you hands on throughout onboarding.

Our team sets up the foundations, guide you through each step, and gets you to a point where you can use with folks confidently and quickly. To make that happen, we'll ask for a few essentials early in the process. The first is your data. Every organisation's data is different. Some come from a single system that exports neatly, whilst others have information spread across multiple platforms or spreadsheets.

Because every data set is unique. Our team provides a consolidated spreadsheet template for your core data. Before we begin the full import, we will ask you to share a small sample of your existing data. This helps us review how your current system stores information, and advise you on how to map it into our templates. Once your templates are complete, you will upload them to your secure SharePoint folder and our team will take care of the import.

If you are processing any payments through SwiftFox such as memberships, donations or ticketed events, we will also need your payment gateway keys. These come from providers like Stripe, Fat Zebra, E-way or Bpoint. Your keys are uploaded to the same secure SharePoint folder and we never accept keys or data through email.

Next is your email domain. To send emails from your organisation's address, SwiftFox needs to authenticate your domain. We will show you how to retrieve your DNS records and upload them for verification. If your organisation uses Microsoft Entra ID for single sign on, we will also need a few details from your Azure app registration. Your IT team can upload these to your SharePoint folder as well.

Once we have your data sample, your payment gateway keys, your email domain, and any Entra ID details. Our team starts building your SwiftFox environment. We use your data to create the structure of your system. This may include setting up custom fields, building your membership or join forms, creating donation or event forms based on best practice templates, and preparing your action centres so key information is visible from day one.

After your environment is set up, you move into enablement training. This is where we teach you how to use SwiftFox. Most customers complete 3 to 4 training sessions. Your first session focuses on your core needs. You will learn how to navigate people and organisation profiles, and how to build lists using criteria, behaviours, financial data, and geographic information with our maps tools.

Your second session covers communications and outreach. This includes sending emails, texting your audience, running events, and understanding how forms, power surveys, petitions, and registrations.

If your organisation uses SwiftFox for payments, you will also complete a finance training session. We cover subscriptions, recurring payments, donations, payroll deduction, invoicing, payment plans and how all financial activity is reported in SwiftFox.

For most customers, our goal is to complete onboarding within your first four weeks. For more complex organisations, onboarding may take longer and we will work with you closely throughout the process. Once everything is complete, you are ready to start your SwiftFox journey from here.
