Today we'll cover how to create a user. Assign user groups for first login, send the welcome email, reset a password and change an email address.

We'll follow a simple example with a new teammate, Sarah Chen joining as a marketing coordinator, and along the way share tips to make onboarding smooth and compliant.

First, navigate to settings and select SwiftFox users from the menu and choose Create User. Now it's time to enter Sarah's details. Type in her name and her email address. Then select Create user. You'll see a confirmation screen pop up saying “User created successfully”. That was easy. Sarah now exists in the system, but she doesn't have access yet.

Here's a pro-tip. It's a good idea to assign Sarah to her user groups right now, before she even logs in for the first time. This way, when she does login, she'll immediately have all the permissions she needs without having to wait for you to configure them later.

Under the groups section, select Find a Group search for marketing team and select it from the results. Then select add. You might also want to add her to standard users if that's relevant to your setup. Each group you add will grant Sarah the appropriate permissions for her role.

Now comes the exciting part, letting Sarah know she's all set up. Select the Send Welcome button and SwiftFox will send her a friendly welcome aboard email with the Set Your Password button and a link to support if she needs help getting started. When Sarah receives the email and select Set your password, it will open the login page where she can confirm her email address and create her own secure password.

Important note: Welcome links are only valid for 24 hours. If Sarah is on annual leave or misses the email. Don't worry, you can reset her password from settings any time. You can also select Go to person to open Sarah's contact profile if you want to review her record or add any additional information.

Fast forward three months. Sarah is back from a two week holiday and can't remember her password. It happens to the best of us, trust me. Here's how you can help. Head back to settings and select SwiftFox Users. Open Sarah's user record by clicking on her name. Select Reset Password and confirm when prompted. Sarah will immediately receive an email with a link to reset her password. She’ll be back in action within minutes!

Let's say Sarah gets married and wants to update her email address to reflect her new surname. No problem. You can handle this without creating a brand new account. Open Sarah's user record and at the top you'll see her current email address. Simply enter the new email address in that field, then select change. That's it! Sarah's profile and all future logins will use the new address. Her history, permissions and everything else stays intact. No need to start from scratch.
