A quick top-up is a one-off manual top-up: you enter an amount, confirm the fees, and the funds are added to your wallet immediately.
Doing a quick top-up
- On the Wallet settings, find the Quick Top-Up card near the top of the page.
- Click one of the preset amount buttons, or type a custom amount in the input field (for example, 25).
- Review the breakdown shown below the amount: Net Top-Up, GST and card surcharge.
- If you have more than one saved card, click the card dropdown and select the card to use.
- Click Confirm.
- Wait for the confirmation message — the new balance updates on the Wallet settings.
Once confirmed, the funds are added to your wallet and a receipt and a paid invoice are generated against your linked organisation.
Understanding fees and taxes
The total charge is higher than the amount added to your wallet. The difference covers:
- Card processing fees — charged by the payment provider (Stripe).
- GST — or other applicable tax.
These amounts are calculated live as you enter a top-up amount. The preview updates as you change the value, so you can see the total charge before confirming.
For example, a $25 top-up may result in a total charge of approximately $28.27 once GST and card processing fees are included.
Receipts and invoices
Every top-up creates a receipt and a paid invoice on the linked organisation:
- The receipt records the payment itself — the amount paid and the date.
- The invoice shows the breakdown of fees, tax and the net top-up amount.
To download an invoice:
- Scroll to the Detailed Activity table on the Wallet settings.
- Find the top-up row you want.
- Click View Invoice on that row.
- The invoice opens as a PDF, which you can save or print.

Refunds
Refunds are not handled directly through the wallet. Contact SwiftFox Support if you need a top-up refunded.
