The Communications Wallet is the credit system that funds your usage-based features in SwiftFox. Outbound Emails, Text messages and Calls (VoIP) all draw down from your wallet balance based on configured rates. When the balance is low, you can top up on demand or rely on auto top-up to keep your balance ready automatically.

The wallet lets you add your own payment details and top up SwiftFox credits directly — manually or automatically — without needing to contact the SwiftFox team. It is designed for account administrators, finance officers and support staff.

What the wallet funds

The wallet pays for usage-based channels, each charged at a configured rate:

  • Emails — charged per email beyond any included monthly allowance (inclusions).
  • Text messages — charged per message; typically no inclusions, so every message is charged at the per-unit rate.
  • Calls (VoIP) — charged per minute, with each started minute counting as one unit.

Where the wallet lives

The wallet lives under Settings → Finance & usage → Wallet (the page is titled Wallet). Open it to view your balance, top up, configure auto top-up, manage payment cards, and review transactions and summaries.

Key concepts at a glance

  • Balance — the funds currently available to spend.
  • Rates — the per-unit cost for each channel; configurable per account.
  • Inclusions — a volume of usage included in your plan before per-unit charges begin.
  • Quick top-up — a one-off manual top-up applied immediately.
  • Auto top-up — a rule that adds funds automatically when the balance falls below a threshold you set.
  • Credit limit — an optional buffer that allows sending up to a set amount even when the balance is zero.
  • Receipts & invoices — generated automatically for every top-up against a linked organisation.

How this guide set is organised

This guide set covers the wallet end to end:

  • Accessing & configuring the wallet — opening the wallet and the three configuration models (account-wide, per-Circle, shared global).
  • Balance, rates & inclusions — checking your balance and what each action costs.
  • Quick top-up — one-off manual top-ups, fees, GST, receipts and invoices.
  • Auto top-up — thresholds, cards, end dates and email receipts.
  • Managing payment cards — adding, selecting and removing cards.
  • Credit limits & send behaviour — what is and isn't blocked when funds run out.
  • Transactions & reporting — Detailed Activity, Monthly Summary, Daily Summary and CSV export.
  • Shared wallets & Circles — how wallets behave across Circles.
  • Workflows — step-by-step procedures for common tasks.
  • Frequently asked questions and Limitations & best practice.

The wallet underpins the Emails, Text messages and Calls (VoIP) features — see those feature guides for how each channel is sent.
