Data services

Your history, brought across intact

Twenty years of records, mapped into SwiftFox and checked before anyone relies on them. Do the preparation yourself or hand the whole thing over — both work.

You don't have to buy this

Some teams hand us four legacy systems and twenty years of history. Others send one clean file and never speak to us again. Both are fine.

Prepare it yourself

Templates, documentation and a public API. If your team has the technical skills, you can shape the data and load it yourselves — some customers script the whole import and never send us a file.

Hand it over

We map your records into SwiftFox, run trial migrations and validate against your source systems before cutover. Your order form sets the allowance, and anything beyond it is quoted before it starts.

Everything in. Then everything out

Migration is one half of this. What you do with the data afterwards is the other. How much of each you need is entirely up to you.
Four systems, twenty years, nothing labelled.
One clean export. Loaded in a week.
We only wanted the reporting.
Everything, including the documents.

How it works

1
We look at what you've actually got

Before anything is planned, we go through your existing systems and find out what's in them. What's duplicated, what's inconsistent, and what's been structured to suit software you're leaving behind.

2
We agree what comes across

Not everything should. Some history earns its place in a live CRM and some belongs in an archive. You decide, and we tell you what each choice costs you in effort before you do.

3
We map it to how you'll work, not how you worked

Records go into the structure that suits the way your team will actually operate. The relationships between people, organisations, invoices, subscriptions and events stay intact.

4
Trial runs, until the numbers match

We load into a test environment and check it against your source. Then we do it again. Your team reviews real records rather than a summary, so problems surface while they're still cheap.

5
Then it's yours to report on

Once your data's in, the same team builds the dashboards, reporting environments and exports your leadership and finance teams need — with your people, so they can run them without us.

6
Want more? Say so

A new reporting requirement, an extra system nobody mentioned, a BI feed you didn't need last year. Your account manager scopes it and you see the cost before anything is loaded.

Where data services stops

Being clear about this upfront means you get the right specialist rather than a general answer.

What data services covers:

Mapping and loading membership, financial, event, communication and document records

Preserving the relationships between people, organisations and transactions

Trial migrations and validation against your source systems

Dashboards, reporting environments and scheduled exports

Reporting databases that feed your own BI tools

What data services doesn't cover:

Building integrations with external systems

Ongoing data entry or record maintenance

Setting your data retention policy

Fixing data inside the system you're leaving

If a reporting requirement turns out to need something the platform doesn't do yet, that's Solutions design's job. We'll bring them in rather than guess at it.

Enablement

Hands-on training, at whatever pace suits your team

We work with your team from kickoff through cutover — demonstrating the features you're actually implementing, answering the awkward questions and getting people confident before day one.

Train the team yourself through the Academy, or bring us in.

For the requirements that only surface once you're in it

Someone tests an edge case, or an old process won't map. We start by working out whether the platform already does it another way, because more often than not it does.

When it genuinely doesn't, you get a documented scope and a real estimate before anything is built

Website development

A website that runs on the same records as your CRM

Membership applications, event registrations, directories, forms, payments, news and member portals, all driven by your CRM data. Designed and built in-house. Manage the information once.

We train you on the CMS and build the core site. Keep building pages yourself, or send them to us.

Your migration plan gets built around your data

If the scope changes once we've seen what's actually in there — and it often does — you'll hear about it before anything is loaded. Not on an invoice afterwards.
