Things have changed
00:00:04:38 - 00:00:27:39
Ah! Welcome to SwiftFox Academy, where we turn task tracking from a chore into a charm. In this lesson, we're diving into the world of tracking tasks within Case Management. Your one stop shop for creating tasks in active cases and watching them progress smoother than a fox’s tail. Let's start with a quick refresher on Case Management, shall we?
00:00:27:43 - 00:00:57:05
Case Management in SwiftFox is like your virtual filing cabinet, but with superpowers. It helps you track issues, queries, and projects related to your members or organisations all in one place. It keeps everything connected to your data so you can assign responsibility, store notes and documents, and maintain a complete history of interactions in a central, organised location. Now let's explore how to manage tasks within a case.
00:00:57:09 - 00:01:19:33
To get started. Head to Case Management. You can open a case and navigate to the tabs, or you can take a shortcut and select the task icon at the end of the row. Here we can see any current tasks assigned to this case. All actions have been completed here, but we haven't heard back if this is all resolved so the case can be closed.
00:01:19:37 - 00:01:43:21
So let's create a task to schedule a follow up call with the affected contact. Start by entering a task name and setting the due date and time for the follow up. Next, assign the task to either an individual user or a team. You can assign it to yourself, a colleague, or a group, such as your membership team or finance team.
00:01:43:25 - 00:02:15:29
We’ll assign Matt, who first took on the case. You can also set permissions on the task if needed, controlling who can view or edit the task. Once assigned, the task will appear in their task list automatically. It will also appear in your organisation main task management section under upcoming tasks. From there, you will see not only the task itself, but also the full context of the case. It's attached to, making it easy to understand the background and take action.
00:02:15:33 - 00:02:34:21
That's how to track tasks in case management. It's a simple but powerful way to stay organised and ensure that important follow ups don't slip through the cracks. Or should we say foxholes? Now you're ready to keep your tasks on track and your cases moving forward. Until next time.
