Today we're diving into the people and organisations feature in SwiftFox, and let's talk about why it matters. I'll make a bold and obvious statement. Your contacts are at the heart of your organisation, whether they're stakeholders, members, clients, or a particularly elaborate extended family. Keeping track of the details is crucial. Their name, their email. The memorable conversations you really should remember, the emails you've seen them at and whether they pay you and how much.

In this lesson, we'll show you how to create a new contact profile, see custom fields, store interactions, and set permissions. So let's create a new contact.

I'd like to add Jenny Bridge and her esteemed law firm, Bridge Lawyers, to my SwiftFox environment. I'm logged in and on my home page. When we click the plus sign on the top navigation bar, we see our options for contact creation.

You can create a person or an organisation, and this process is different if you're importing a big list of data. But here we just want to create one new person. So we select Add person or Scan business card. If you scan a business card it will automatically fill out their details.

And here you add a person's contact information their name, email and phone number. Bridge lawyers is already in the system. So I'll link Jenny to this organisation.

Now this toggle asks if you'd like to be the stakeholder leader on this record. If you select yes, you're the primary point of contact for this person at your organisation. This matters for things like building lists and sending invites and emails, so correspondence can be channeled through you and feel personal. I'll select yes because Jennie and I go way back. Great. Jenny Bridge is now a contact in SwiftFox.

Let's take a quick tour of a person's profile. The Contacts and Roles tab is where you record all the contact details, including addresses, and you can see various roles a contact has. To add a new role simply click Add Relationship, then select the organisation and record their role title.

If a contact has more than one role, this little star marks the one you consider their main or primary role, and the details of that role appear in the business card. You can also switch your roles to a table view instead of the business card view, if you prefer. We're all about flexibility here. Up top, you get a quick snapshot of your contacts, key details in the business card form.

Custom fields live on the main profile page and hold the important information you need to store about each contact. SwiftFox comes with a range of ready made custom fields, and you can update their values right here by clicking edit.

To create or manage your own custom fields, head to settings. We walk through that in a dedicated Manage Custom Fields lesson. Custom fields let you track information that's unique to your organisation, and all of it is searchable so you can build reports and targeted lists for other SwiftFox features like emails, events, texts, and calls.

Contact profiles aren't just for storing information. You can send outbound communications straight from a profile with quick actions, and generate a mail merge document from your save templates.

Often, the most valuable part of a contact record is where you store your interactions. The posts tab is where you keep all of the interactions, meetings, and notes for a contact. It works like a social media feed, so every post shows up here. You can also create tasks linked to your contact from here.

Finally, roles and permissions. If you're an admin, you kind of have superpowers. You can make a contact viewable and editable by everyone, or set custom roles to choose exactly who on your team can see or edit a contacts information, for example, limiting editing rights but leaving view only open to everyone.

Organisation profiles work in a very similar way to contact profiles in SwiftFox that is not in real life. Click an organisation and you'll see all of its key information at a glance.

Custom fields work the same way as they do on people, and the contacts tab shows everyone attached to that organisation. If an organisation is related to another, say, a subsidiary or a parent, that shows here too.

To add one, click add and describe the nature of the connection. The rest of the tabs are similar and your organisations can also have interests, insights, and activity.
