018-01 Create and manage Accreditations
Things have changed
00:00:05:12 - 00:00:14:01
Welcome! Managing professional development points can be complex, but we've got you covered with our versatile accreditation system.
00:00:14:05 - 00:00:33:32
Let's explore how SwiftFox helps you track and validate your members continuing professional development journey with ease. You'll be able to monitor CPD points in real time on member profiles, automatically record points from events, and configure the system to match your unique requirements.
00:00:33:36 - 00:00:53:41
Before we dive in, here's something important to note. Every organisation tracks points differently, so our team will customise this feature to suit your specific needs. And while we call it accreditation in this lesson, you might see it as goal certification or CPD, but the core functionality remains the same.
00:00:53:45 - 00:01:07:49
Here we are in the accreditation tab. You'll notice three sections a snapshot of current points for this profile, assigned accreditations, and a history of activities contributing to those accreditations.
00:01:08:03 - 00:01:34:04
The accreditations table shows all items assigned to this profile along with their progress details. To add a new accreditation, click Add Accreditation and use the dropdown to select the type, status, start date, and any relevant notes. The system will automatically renew accreditations at the end of each period, so you can disable this if needed. Once you've entered all details, click Save and Close.
00:01:34:08 - 00:01:46:16
Perfect! Your new accreditation appears in the table with zero points. Need to make changes? Select edit from the three dot menu on the right. You can also view or delete from here.
00:01:46:20 - 00:02:01:36
Let's look at the activity history table. This shows all completed activities that contribute points to accreditations. Now don't forget your accreditation items can have a total points requirement in addition to specific point categories.
00:02:01:40 - 00:02:12:03
Why? Well, this makes it much easier to track overall progress toward achieving goals. But enough of my preamble. Let's see this in action with an example.
00:02:12:13 - 00:02:25:13
A member recently completed a training course worth ten points, specifically for volunteering, which is one of those point categories I mentioned before. So we'll add this to their history by selecting Add History.
00:02:25:17 - 00:02:50:38
Since it hasn't been confirmed, I will leave the date confirmed blank. Cut! Let's pause there for a second. Quick side note on how your accreditation items are set up. These are set to one year as default, but you can also have them span over multiple years too. Okay, back to my well-earned ten points, and action! We’ll assign the accreditation type and ten points, then set the source as Other.
00:02:50:42 - 00:03:13:07
You can add notes or attachments if needed. Click Save and Close when done. You'll notice the new activity has been added worth ten points, but these points haven't been added to the total accreditation points yet. This is because we need to approve the activity first. So let's click the three dot menu and approve it. You'll see the confirmation date update to today.
00:03:13:11 - 00:04:44:13
The status change to approved, and those points appear in the total above. If at any point I need to see a breakdown of someone's total points, I can simply hover over the points cell like so. Easy as that! That's it! SwiftFox offers additional ways to automatically capture accreditation points, which we'll explore throughout the course. With SwiftFox’s Accreditation Management, you will have a clear overview of your member's professional development journey, whether you're managing a small group or a large organisation our system adapts to your needs.
