When you open a Contact, the profile presents a business card at the top with the contact's tabs alongside it. Together they give a complete, organised view of everything known about the contact.
The business card
The business card shows the contact's core details and their main role. A coloured category chip appears next to the contact's name, taking its colour from the contact's category (for example a Member chip) — it replaces the older highlight colour, so you can tell which category a contact is in the moment you open their profile. You can choose which other information appears on the card.
Two further lines appear on a Person's card where they apply:
- Stakeholder Leader: followed by a user's name, beneath the role and organisation line — the SwiftFox user who owns the relationship. See Stakeholder leaders.
- Guest User: followed by an email address, beneath the name block, where the contact has been given a guest login. See Guest access (giving a contact a limited login).
To customise the business card (this changes the layout globally for all People or all Organisations):
- Open any contact.
- Choose Customise card from the quick actions beside the business card.
- Drag a Custom fields block onto the card and choose which custom fields to surface.
- Save. The updated layout applies to the business card for all contacts of that type.
The profile tabs
Depending on the contact type and your configuration, a Person profile includes the following tabs:
- Profile — core details plus your custom fields and sections. This is where most contact information lives.
- Financial — a financial snapshot with subscriptions, receipts, invoices and tickets purchased.
- Accreditation — CPD goals and requirements, with the ability to add CPD line items and view full CPD history.
- Projects — rows for any projects the contact is tagged in; open a row drawer to edit, task and comment.
- Insights — graphs of email delivery, open, click and bounce activity, plus event RSVP summaries and detailed tables.
- Contacts and Roles — contact details (email, mobile, website, socials), addresses with geocoding, and relationships to Organisations.
- Contact Restrictions — rules that limit how and when the contact can be contacted.
- Map — any geocoded addresses plotted on a map, with the option to open Google Maps for context.
- Posts — posts authored by, mentioning, or about the contact, with view filters.
- Cases — cases the contact is authored in or mentioned in.
- Tasks — tasks assigned to or mentioning the contact.
An Organisation profile shows a similar set, with two differences: the contact-and-relationships tab is simply called Contacts (rather than Contacts and Roles), and there is an additional Related Organisations tab for organisation-to-organisation links.
The right-hand column
Alongside the tabs, the right-hand column of a profile holds two panels:
- Scratchpad — a shared free-text notes area for working notes that don't belong in a custom field or a post. It saves as you type. See Contacts & Profiles — Scratchpad.
- Feed — the contact's posts and system activity, with New Post to add one.
Quick actions
Beside the business card is the contact's set of quick actions. To keep the business card short, only the most-used actions are shown, with the rest collapsed behind Show more at the foot of the list.
Shown by default:
- Send email
- Send text
- Make call
- Create task
- Generate document
- Complete survey
Behind Show more:
- View activity log
- Customise card
- Set permissions
- Merge profile
- Guest access
- Delete Person
Selecting Show more expands the full list; nothing is removed and which actions you can use still depends on your permissions. Organisation profiles behave the same way, with a reduced set of actions. These are covered in Quick actions.
