Stakeholder leaders

Assign, manage and transfer stakeholder leaders to ensure clear ownership of contacts.

A stakeholder leader is the SwiftFox user who owns the relationship with a contact — the person your team goes to first about that Person or Organisation. Every Person and Organisation can have one, and it surfaces on the profile and in lists so ownership is obvious at a glance.

Where the stakeholder leader appears

  • On a Person profile, on the business card as Stakeholder Leader: followed by the user's name, directly beneath the role and organisation line.
  • On both Person and Organisation profiles, as a Stakeholder leader field — in Personal Details on a Person, and in Organisation Details on an Organisation. With nobody assigned, the field reads None.
  • As a Stakeholder Leader column elsewhere in SwiftFox, including the Texts Inbox and event invite lists, so you can see who owns each relationship without opening every profile.

Setting or changing the stakeholder leader

  1. Open the contact and stay on the Profile tab.
  2. Select Edit on Personal Details (a Person) or Organisation Details (an Organisation).
  3. Select the Stakeholder leader field and start typing the user's name. The list shows each user's email address, so you can tell similar names apart.
  4. Choose the user.
  5. Select Save. Cancel discards the change and leaves the previous leader in place.

Only SwiftFox users can be a stakeholder leader — the list is drawn from your account's users, not your contacts. Where one of your users also exists as a contact, the picker shows their contact details alongside the user's name; you are still choosing the user.

Claiming a record as you create it

The Add Person panel includes a Make me the Stakeholder Leader of this record toggle. Turn it on and you become the stakeholder leader the moment the record is created, so newly captured contacts don't sit unowned. Building lists by stakeholder leader

Stakeholder leader is available in the List builder both as a search criterion and as a column.

On the Conditions step, type stakeholder into a criteria field. Under the Stakeholder Leader heading you'll find two criteria:

  • I am stakeholder leader — narrows the list to the contacts you lead, without naming a user.
  • Stakeholder leader is — narrows the list to a specific user you choose.

On the Results step, open the column chooser and search for stakeholder to bring the Stakeholder leader column into the table alongside your other fields.

Using stakeholder leaders well

  • Clear ownership. Anyone opening the profile can see who holds the relationship, and who to ask before contacting them.
  • Handover. When a user leaves or changes portfolio, update the field on their contacts so ownership stays true — the business card and every Stakeholder Leader column follow immediately.
  • Finding the gaps. Contacts with nobody assigned read as None; sweeping for those is a quick way to catch records nobody owns.
