Guest access lets you bring volunteers, contractors and temporary helpers into SwiftFox for a specific event, without giving them access to the rest of your account. A guest can make calls or record field visits against a list you nominate, and nothing else — they have no left-hand menu and can't move to other features or data.
Guest access has two halves, and both are required before anyone can log in:
- On the event — switch guest access on and generate an access PIN for a call list or a visit list.
- On the contact — enable guest access on the person's profile and choose whether they log in with their email address or their mobile number.

Neither half works on its own, so if you are setting guest access up for the first time, read both.
The event half, in short
Before a contact's guest login is any use, someone needs to set the event up. In outline:
- On the event, open Details → Settings and enable Guest User Access. A Guest Access step appears at the top of the event setup.
- In that step, choose Calls guest access or Visits guest access, choose the call list or visit list guests will work through, and select Create. A row appears with a generated access PIN.
- The row's ⋮ → Edit sets which users guests may record a visit as visited by, or whether guest callers get VoIP.

Enable guest access on the contact
A valid PIN is not enough on its own: guest access must also be enabled on the person's own profile.
- Open the Person's profile.
- In the quick actions beside the business card, select Show more, then Guest access.
- The Guest user access panel opens. Tick Enable.
- Choose the Mobile number and the Email address the guest will use to log in. Both dropdowns offer the details already recorded on the contact, so add the correct email or mobile to their record first if the one you want isn't listed.
- Select Save. Cancel closes the panel without changing anything.
Guest access is a Person feature — Organisation profiles do not offer it.
Once it is enabled, the contact's business card shows a Guest User: line with their guest email address, beneath the name block, so you can tell at a glance which contacts can sign in.
Share the login link and PIN
Guests log in at app.swiftfoxcrm.com/account/guest. Send them that link along with the PIN generated on the event.
On the login page they enter their login detail — the email address or mobile number configured on their profile — then the event access PIN, and select Login. They land in a restricted environment tied to the event and the call or visit list you assigned.
What a guest can and can't do

Guests can:
- Conduct calls or field visits using the standard SwiftFox workflows.
- Complete forms, record outcomes and add notes for the activity.
- View the context they need to complete the task — recent calls, basic profile details, historical posts, and tasks related to the contact.
Guests cannot:
- Edit contact profiles.
- Create or edit posts.
- Create tasks.
- Add contacts to other events.
- Reach the left-hand navigation menu, so they can't move to other features or system areas.
Privacy and the audit trail
In call history, calls made by your own users show the user's name, while calls made by a guest appear as guest access. The action is still recorded, but which individual guest made it isn't exposed — you keep the audit trail without identifying guests to each other.
