How do I add an international address?
In Contacts and Roles → Add address, click "can't find your address" → Enter manually, choose the country, then set Street vs Postal via the left icon. Save.
What do the address icons mean?
The right-side bullseye icon means the address is geocoded; a circle with a slash means it is not geocoded. Geocoded addresses unlock mapping and electorate / boundary list cuts.
Why can't I edit a Linked custom field?
Linked fields pull their value from another record, so they are read-only on the record where they're displayed. Edit the source record or the source field instead.
My Linked field source isn't available — why?
The source Record field must be single-value and point to a single record type (People or Organisations, not a mix). Adjust the Record field so it meets these conditions and it will become selectable as a source.
How do I unsubscribe a single email or mobile?
In Contacts and Roles, open the contact's card ⋯ menu and choose Edit, then click the ⋯ next to the email to change its subscription preference; use the message icon next to a mobile to unsubscribe that number from Text messages.
Where do I set who can see or edit a contact?
Use the Set permissions quick action to grant a user or group Full access, View & Edit, or View only. A lack of access hides the profile or blocks edits.
How do I merge duplicates safely?
Use the Merge profile quick action, then set the Primary (keep) and Duplicate (delete/transfer). Swap them with the double-arrow if needed. On conflicts the Primary's custom field values are kept; the Duplicate is permanently deleted; and a merge post is created. This requires merge/delete permissions.
Can I show member counts on an Organisation?
Yes — add a Record Count field, configure its List Builder filters, and it will live-update as people are added to or removed from the organisation.
Where can I see a contact's engagement?
The Insights tab shows email deliver / open / click / bounce graphs and event RSVP summaries, plus detailed tables (with export available for events).
How do I generate a personalised document?
Use the Generate document quick action to create a Word document using mail merge from the profile (including custom and financial data).
Why can't I see "Merge profile"?
You likely lack the merge / delete permissions. Ask an administrator to grant the required rights.
Do Organisation names have to be unique?
We recommend keeping Organisation names unique — duplicate names make organisations hard to tell apart in Swift Search and lists.
Why can't I send a text message?
Check that a number is configured in Text Settings. Texting requires a configured number.
How are contacts matched when created from a Form?
People created or updated via a Form's Add/Update Contact block are matched on First name + Last name + Email only.
What does the Smart URL custom field do?
A Smart URL custom field lets you store a URL against a profile and open it directly from that profile. It is a shortcut for reaching a link quickly — it does not support custom formatting, and it cannot build a URL from a formula.
Smart URL is the name shown in the field-type list when you add a field. On the Custom fields screen the field's type is displayed as Link.
What are the badges and suggestions shown under a contact search?
Two different things can appear beneath a contact search field.
SwiftBadges are the coloured labels shown against a contact — for example Member, Donor, Prospect or Volunteer. They come from your person and organisation categories. To use a category set as badges, go to Settings → Data & records → Tags & categories and open the Person category or Organisation category tab, then tick Use as SwiftBadge. Each category on that tab has a Name and a coloured Badge; use the icons in the Actions column to edit or delete one, and Add to create another.
SwiftSearch makes the contents of a text custom field searchable, so matching contacts are suggested as you type. To turn it on, open the field's settings from Settings → Data & records → Custom fields and tick Enable SwiftSearch.
What does the file upload custom field do?
A File upload custom field lets you attach files to a profile, so you can keep documents that need to live against a specific person or organisation. It is available on both People and Organisations.
A single file upload field can hold more than one file. On a profile, open the field in edit mode and select it; once a file is present, select the field again to add or delete files from the menu. Files can be downloaded from the profile at any time.
The field can also be added to Add/Update Contact blocks in a form, so a person can upload an attachment through the form and have it written straight to their own profile.
