Relationships in SwiftFox connect People to Organisations through roles. A role records how a person relates to an organisation — their title, dates and workplace details, plus any custom fields your account has configured against roles (see Custom fields on roles). Roles are two-way: create one on either record and it appears on both.
Adding a relationship
- Open a Person and go to the Contacts and Roles tab.
- Click Add relationship.
- Choose the Organisation to link to.
- Assign the Role / Title.
- Set the Relationship dates (start and, if applicable, end).
- Add the Workplace and any other role-specific contact details. If your account has custom fields configured against roles, fill those in from the role card using Edit Custom Fields (see Custom fields on roles).
- Save.
The relationship now appears on both the Person and the Organisation — you record it once and see it from either side.
Roles created by a custom field
A role can also be created without anyone opening this tab. A Record custom field with Sync to relationship enabled creates a role whenever a record is added to it, using the job title configured on the field.
Those roles behave like any other role here, with one important difference: the sync runs one way. Ending the role on this tab does not clear the custom field, and the field remains the source of truth. To end such a relationship properly, remove the record from the custom field. Editing, ending and moving roles
Use the ⋯ menu on a role card to manage it:
- Edit — update the title, dates, workplace or other details.
- End role — close off the relationship (for example when a person leaves an organisation).
- Move — move the role to a different organisation where supported.
Historic roles
When a role is ended, it moves into the Historic roles area. This preserves the full relationship history — you can always see where a person has been and when, without cluttering their current roles.
The main role
A contact's main role is what surfaces on the business card. Keeping current roles accurate ensures the business card and any role-based lists and communications reflect the contact's present situation.
