Contacts & Roles — contact details, unsubscribe, addresses and geocoding

Manage contacts, edit details, handle unsubscribes and refine address locations with geocoding.

The Contacts and Roles tab holds a contact's communication details, their postal and physical addresses, and their relationships to Organisations. This page covers contact details, unsubscribe handling, and addresses with geocoding. Relationships are covered in Roles and relationships.

(On an Organisation this tab is simply called Contacts, and the steps below work the same way.)

Viewing an organisation's contacts

On an Organisation's Contacts tab you can switch how the linked people are displayed using the view options at the top right:

  • Cards — each contact shown as a card with their key details.
  • Grouped — the previous table view, which groups the contacts together.
  • Table — a single, ungrouped table that lists every contact in one flat view.
  • Historic — relationships that have been ended.

If your account is set to default to tables, the Contacts tab opens in the Table view. From the same bar you can Add person, filter people by name, and Export the list.

Adding and editing contact details

  1. Open the contact and go to the Contacts and Roles tab.
  2. On the contact's own card, open the ⋯ menu and choose Edit.
  3. Click Add Contact to add a detail — email, mobile, website, social handle and so on.
  4. To change a detail's type, click the icon on the left of the row and choose the type (email, mobile, LinkedIn and so on).
  5. Optionally set sharing permissions on an individual contact detail to control who can see it.
  6. Save.

Unsubscribing a specific email or mobile

You can manage marketing consent at the level of an individual address or number:

  • To unsubscribe or re-subscribe a specific email, click the ⋯ next to that email and choose Unsubscribe or Subscribe.
  • To unsubscribe a specific mobile from Text messages, click the message icon next to that phone number.

This lets you honour a contact's preferences precisely without affecting their other addresses or numbers.

Sending a one-off email to an unsubscribed contact

An unsubscribe stops campaigns reaching that address, but a one-off email sent from the profile is treated differently.

The Send email quick action beside the business card carries a Send to unsubscribed contacts checkbox, directly below Recipient email. It is ticked by default, so a one-off email will reach an unsubscribed address unless you change it. Clear the checkbox before sending if the contact's unsubscribe should be honoured.

The checkbox bypasses the contact's unsubscribed status and any channel restrictions on the email channel. It does not touch contact restrictions: those cover every channel and cannot be overridden when sending, so they block delivery whether the checkbox is ticked or not. Leaving it ticked is never a way around a contact restriction. Adding an address

  1. In Contacts and Roles, click Add address.
  2. Start typing and search within your account's default country.
  3. Pick the suggested result.
  4. Save.

Checking geocoding status

Each address shows a geocoding status icon on the right:

  • Bullseye icon — the address is geocoded (it has map coordinates).
  • Circle / line (slashed) icon — the address is not geocoded.

Geocoded addresses unlock mapping, list cuts by boundaries and electorates, and field-visit planning. If an address isn't geocoded, those spatial features won't include it.

Refining an address location

Geocoding places a pin from the formatted address, which is not always exactly where you need it — a large rural property, a site entrance, or a building set back from the street. You can move the pin yourself.

  1. On the address row, open the address drawer using the location icon that appears when you hover over the address.
  2. The drawer opens on Address, showing the street address, an Edit button and a map of the current location.
  3. Select Refine location beneath the map.
  4. The drawer changes to Edit location and shows the prompt Drag the pin or click the map to set the address location.
  5. Drag the pin, or click anywhere on the map, to place it. The coordinates shown below the map update as you move it.
  6. Select Save Changes, or Cancel to leave the location as it was.

To undo a refinement and send the pin back to where geocoding originally put it, open Edit location again and select Reset to address.

A few things worth knowing:

  • Refining requires address write permission. Without it, the option isn't available.
  • Addresses are shared, so refining the location updates the shared address — every contact using that same address sees the refined position. The Contacts Sharing This Address section of the drawer shows who else that affects.
  • Related boundaries are recalculated when the coordinates change, so a refinement can alter which boundaries or electorates an address falls inside.
  • Refining the location does not change the address text. Use Edit for that; normal address edits and the refined coordinates stay in step.

Entering an international or manual address

When an address isn't found in your default-country search (for example an overseas address):

  1. Click "can't find your address".
  2. Choose Enter manually.
  3. Select the country.
  4. Enter the address details.
  5. Set the address as Street or Postal using the icon on the left.
  6. Save.

Manual entry ensures international and non-standard addresses can still be recorded on the contact.
