Today we're diving into the people and organisations feature in Swift Fox. Now let's talk about why this feature matters. We're going to make a bold and obvious statement. Your contacts are at the heart of your organisation.

You want to remember things like their name, their email, memorable conversations -that you had that you really should remember - events you've seen them at, and if they pay you, and how much.

In this tutorial, we're going to show you how to create a new contact profile, see custom fields, store interactions, and set permissions. So let's start by creating a new contact. I would like to add Jessica Bridge to my SwiftFox contacts.

So I'm logged into SwiftFox and I'm on my home page here. When we click on the plus sign on our top navigation bar, we can see our options for contact creation. You can create a person or you can create an organisation.

Contacts and roles is where you can record all the contact details, including addresses you have for contact. And this is also where you can see the various roles a contact has to add your contact to a new role.

Simply click Add Role. Select the organization and record their role title. If a contact has more than one role, this little crown indicates which one of the roles you consider to be the main or primary role.

SwiftFox comes with existing custom fields, but it's easy to create your own. Simply click Edit, add a field, select the type of custom field you want.

All of this information is searchable and enables you to build reports, as well as targeted lists for other Swift Fox features such as emails, events, texts, and calls. Speaking of communication, contact profiles are not just a place to store information.

The Events feature is like a mini-campaign platform inside a campaign platform. There are so many exciting tools to use to make event organising simple; including forms. In this tutorial, I'm going to show you how to design an RSVP page for your event. This page will contain your RSVP form. Now, I'm starting this session today in the RSVP page section.

If you know how to use SwiftFox forms, this page will look pretty familiar. The RSVP page is in Events, just like our form feature, but we have a few extra tools that will make a big difference to event organisers.

But before I show you that, let's design our form. So, the first thing I'm going to do is set the layout of my form, and I'll do this by dragging a column onto the canvas. This will give you more flexibility with your formatting. Select the single column option. Now I can adjust the layout, padding, color, margin, or radius. Every team needs a task. Let's learn how to create teams and create tasks for teams in SwiftFox. They go together.

First, let's define what we mean by team. A SwiftFox team is a group of users who share the same permissions and are usually within the same department of your organisation, such as your marketing team or your finance team. The benefit of teams in SwiftFox is you can also assign tasks to teams. Quick note: Only the special admin users can create teams.

So if you would like to create a team of users and you are not an admin, you'll have to speak really nicely to your admin team to create one for you. Admin users. First go to settings select user groups. Here you can see a number of groups that are also teams, each with a different number of members. Today we will create a new user group.

So select add a user group. We're going to call this user group Comms team. Now in this new user group I will select this group is a team. A quick clarification. User group and team can sometimes be confusing. Here's the difference. A user group consists of users grouped together with the same set of permissions. You may have features, profiles, or contacts, but can only be accessed by a specific user group.

A team is an upgraded user group with the extra ability to assign tasks to users. Every team is a user group, but not every user group is a team. Let's get back into it. To adjust user permissions, select permissions. Below is a list of all the features in SwiftFox. Switch on the features this team will have access to.

Great. Select manage members. Then find your dream team by searching for users here, then selecting add. I'll add a few now. Now once you have reviewed the permissions, select save and close.

Now we have created our team. It's time to start assigning tasks. So I'll select tasks from my home screen. Here I can see a list of my tasks under teams. You can see tasks that different teams have been assigned. So I will create a task. Write a brief description of the task and then search for my new SwiftFox team.

Adjust the permissions and then I'll select save. Great. I've successfully created a task for my team. I'll return to the team board and here I can see all my team tasks. Excellent. Now everyone in our team knows exactly what to do.

The time that tasks are really important? Project management. Here is how you can create tasks on a project. First, go to a project so you can see here I have a project for new member onboarding. Now in this webinar row I want to assign myself a task. So I remember to do this. Then I'll click on this three dot menu and create a task.

On this side panel you can create your task. So I'll write myself the task of setting up a zoom event in SwiftFox. Write the date and time and select add me. Great. Now this task is assigned to me and I can adjust who can see and edit this task here. Now I can see this task in my task list and on the project board, no excuses.

Let's create a task for a team on a project board. Send invites is listed as a project row. This is definitely a big team task so I will click here. Then I'll write, organise, webinar, invite list and the date and select team. Here I'll add the columns team. Today we're doing a deep dive into our most popular automation, sending an automatic email to someone when they fill out one of your SwiftFox forms.
