Visits — Workflows: step-by-step

Step‑by‑step workflow to access, create, manage, and resume Visits, including survey and outcome recording.

This page brings the common Visits tasks together as end-to-end, step-by-step workflows.

A) Access an existing visit

  1. Open Visits from the left-hand menu. (If you cannot see Visits, ask your administrator to enable it and grant you permission.)
  2. On the Visits landing page, find the target visit in the table.
  3. Click the green icon next to the visit's name to open it.

B) Create a new visit (four steps)

  1. Open Visits to reach the Visits landing page and click Create visit list (top-right).
  2. Survey step (headed Visit list details):
    • Enter the Visit list name.
    • Use Select a survey to choose the survey to use (a Preview survey panel appears).
    • Click Next.
  3. Address Types step (headed Address type selection):
    • Use the Address types multi-select to choose one or more types (account-configured; e.g. Street Address), or leave blank for no restriction.
    • Optionally tick Primary address only.
    • Set Group addresses by: Street (default) or Suburb.
    • Click Next.
  4. Audience step (headed Select an audience):
    • Use the single combined search Search for lists or people to add to find a saved list or an individual.
    • Click Add to add it. Repeat until the set looks right. (Lists over 5,000 records cannot be selected.)
    • Selected addresses appear in an Address | Contact table. Click Next.
  5. Review step (a Summary):
    • Confirm the List name, Survey name, Number of contacts, and Number of locations.
    • Click Finalise list to lock in and start, or Save and close to return later.
  6. After finalising, open the visit via the green icon on the Visits landing page.

C) Work through a visit and record outcomes

  1. The visit opens on the Visit Entry screen. In the left Locations panel, expand a street (or suburb) and pick an address (use the All streets and All status filters to narrow the list).
  2. In the middle panel, under What happened at this address?, choose one of Contact made, Nobody available, or Skipped. Apply Address tags if needed to capture context.
  3. If you chose Contact made, the panel shows Who did you meet? — select the person you spoke to:
    • Choose the listed contact (a Target badge may show), or
    • Choose Someone Else if they are not in your database.
  4. In the right Complete the survey panel, complete the survey. Confirm the Visited by me person and Visit time date in the top bar, then submit. Recording Contact made with the survey submitted:
    • Updates the address status in the left panel,
    • Creates a Post in the activity feed, and
    • Adds the entry to the contact's profile.
  5. Nobody available rolls up to Unsuccessful, and Skipped rolls up to Unattempted, on the Visits landing page (Contact made rolls up to Successful).

D) Resume a half-built visit

  1. If you used Save and close during the builder, reopen Visits.
  2. Continue editing the draft visit, then complete the Review step and click Finalise list when ready to run.
