Report event attendance, build follow‑up lists and reconcile ticket finances

Events data flows into the rest of SwiftFox, so you can report on attendance, build follow-up audiences, and reconcile ticket finances. This page covers where event information surfaces across Lists, Contacts, Organisations, Forms, Emails, Finance, and Settings.

Lists

You can build lists from event activity using the List Builder:

  • Use Event criteria — combine Event Name and RSVP Status — to build a list (for example, everyone who Attended a specific event).
  • Use these lists for targeted follow-up communications.

Contact Insights

On a Contact (Contacts → Person → Insights):

  • A graph shows the contact's RSVP and attendance history.
  • The Detailed Stats tab shows a table with event name, status, and event date. You can filter by date or status and export the data.

Organisation Insights

On an Organisation (Contacts → Organisation → Insights):

  • See the events attended by people linked to that organisation.
  • A single event may appear multiple times if multiple linked people attended it.

Forms and Emails pages

  • On the Forms page, RSVP forms are marked with a party icon.
  • On the Emails page, event emails are also marked with a party icon.

Finance — Receipts and Tickets

Ticket purchases create financial records automatically:

  • A Receipt is created on the contact's Finance tab for each ticket purchase.
  • Receipts also appear in the Receipts Action Centre, which can be filtered by tickets.
  • The Tickets sub-tab lists all tickets the contact has purchased, showing the ticket name, ticket number, date, description, and type.

Settings → Features → Events

In Settings → Features → Events you can:

  • Add extra RSVP response options beyond the four defaults (Attending, Not Attending, Attended, Did Not Attend).
  • Choose which response options are available per event/form.

Tasks

Event-linked Tasks appear both within the event and in global Tasks. The Linked to field on a task lets you jump back to the event it belongs to.
