Creating an Action Centre & permissions

Create Action Centres and assign full, edit or view‑only permissions for your team.

This guide covers enabling Action Centres for your account, the generic flow for creating any Action Centre, and how the permission levels (Full, View & Edit, View Only) work. For settings unique to each type, see Action Centre types reference, Financial Action Centre types, and List Builder Action Centres.

Step 1 — Enable Action Centre Management

Before Action Centres can be created, an administrator enables the feature for the relevant user group:

  1. Go to User Groups.
  2. Open the relevant group.
  3. Turn on the Action Centre Management toggle.
  4. Save. A new Action Centres settings page now appears under Features.

Users in that group can now create and manage Action Centres from Features → Action Centres.

Step 2 — Create a new Action Centre (generic flow)

  1. Go to Features → Action Centres.
  2. Select Create Action Centre, at the top right of the page. (The arrow beside the button also offers Create new area, if you need to create the area first.)
  3. Enter a Name for the Action Centre.
  4. Pick an Icon from the searchable icon library.
  5. Choose the Area the Action Centre belongs to.
  6. Choose the Section — select an existing section, or type a new section name to create one.
  7. Select the Type (for example Cases, Data Table, Financial — Receipts, List Builder, and so on).
  8. Complete any type-specific settings (these vary by type — see the dedicated type guides).
  9. (Optional) Add or change Default Filters so the table opens pre-filtered to a focused view.
  10. Set Permissions (see below).
  11. Click Save.

The Action Centre now appears in its area and section in the left sidebar.

Default filters

Many Action Centre types support Default Filters — filters applied automatically whenever the Action Centre is opened. They are ideal for creating focused, purpose-built views (for example "failed receipts in the last year" or "open cases assigned to my team"). Users can still apply their own additional filters on top of the defaults while working in the table.

Permissions

Access to each Action Centre is controlled per user or user group, using the standard SwiftFox permissions dialog. There are three levels:

  • Full Access — complete access: view the Action Centre, edit records in the table (where fields are editable), and manage the Action Centre's own configuration.
  • View and Edit — view the Action Centre and edit records in the table (where fields are editable), but without full configuration control.
  • View only — view and use the table (search, filter, sort, export) without editing any records.

To set permissions:

  1. While creating or editing the Action Centre, open the Permissions section.
  2. Add the users and/or user groups that should have access.
  3. Choose the level for each — Full Access, View and Edit, or View only.
  4. Click Save.

Editing, moving and archiving

After creation, each Action Centre can be:

  • Edited — to change its name, icon, area, section, type-specific settings, default filters or permissions.
  • Moved to a different (or new) section.
  • Archived — to retire it from active use while retaining it.
