As well as answering questions about how SwiftFox works, SwiftFox AI can answer questions about the records in your own account, and build lists for you from a description. This guide covers both.
Asking about records you already have
Ask in plain language — what lists do I already have, when is our next event, find me the contact on this mobile number. SwiftFox AI searches your account and answers.
Where a request returns many results it shows the first page and tells you so, offering to show the next. Asking what lists exist, for example, returns the first ten with each one's type and size — a folder, or a Live List or Fixed List with its record count — and notes how many there are in total.
Search is forgiving of small typos, and copes with practical lookups such as finding a contact by mobile number, where your permissions allow it.
Answers that come back as cards
When an answer is about a particular record, SwiftFox AI shows a card for it rather than only prose.
An event card carries the event name, its dates, its description, whether it is upcoming, and its location — along with an Event snapshot giving numbers invited, numbers attending and tickets issued against the total. Sections beneath it expand for Sessions, Ticket sales and Event resources, so you can see the detail behind those numbers without opening the event.
Building a new list
Select Build a list from the starting points on a new conversation, or simply describe the list you want.
SwiftFox AI will ask for whatever it still needs:
- Who to include — people, organisations, or both.
- The criteria — anything the List builder supports, such as location, tags, membership type, category, event RSVP status, email engagement, finance and receipt details, last activity, created date, or custom fields.
- The list type — a Live List, which updates itself as records change, or a Fixed List, which is a snapshot of who matched at the time it was built.
- Any exclusions — who should be left out.
- A name for the list.
Answer in the same conversation and refine as you go. SwiftFox AI keeps track of the list you are working on, so follow-up questions such as now take out anyone who has already RSVP'd apply to it without you starting again.
You can also ask for lists defined by what is missing — people with no email address, no phone number or no organisation, for example.
Working with a list in the conversation
Ask SwiftFox AI to open a list by name and it attaches the list to its answer as a card showing:
- The list name.
- A summary of the conditions that define it.
- When those criteria were read, as Criteria as of and a date and time.
- A View button.
The summary means you can check that the list is defined the way you expect before you do anything with it.
The results drawer
Select View on a list card to open the results in a drawer over the conversation, without navigating away. The drawer shows:
- The list name, and a line stating whether it updates automatically from its criteria.
- A chip showing the list type, such as Live.
- A search field for finding a record within the results.
- Displaying results, with the number of records.
- The results table, with a control for choosing which columns appear.
At the foot of the drawer, Close returns you to the conversation and Open full list takes you to the list itself in Lists.
Good to know
- A Live List reflects your criteria whenever it is looked at, so its size changes as records change. A Fixed List does not.
- Lists SwiftFox AI builds are ordinary lists — they appear in Lists and behave the same as any you build yourself.
- SwiftFox AI works within your permissions, so a colleague asking the same question may see a different number of records.
