Conditional automations is like a well-trained butler who knows exactly what to do in any situation. If this happens, then do that. But only when specific conditions are met. No more one size fits all responses. For example, when someone fills out a form, you can send them a different email depending on how they answered a question. So let's jump in and see this magic in action.

I have this trigger already set up and linked to my feedback survey. Normally I would have this send out a generic thank you email, but with conditions we can send something more personalised.

Let's add an action and select conditional outcomes. This will tell SwiftFox, once someone completes the form, check their answers and take specific actions based on what they've said.

Let's name our first outcome “Low rating”. We start by choosing whether the outcome should trigger when all conditions are met, or when any condition is met. We'll go with all conditions are met.

Now we've set our condition. This field dropdown lists all compatible questions in the form that we can use. Let's pick the rating question and say it should include specific values of one, 2 or 3.

We also want to capture high ratings. So we'll add a new outcome for this using the same field but include the values 4 and 5. Perfect. Add action. You’ll see how both outcomes now branch out from the condition.

You'll also notice another outcome labeled “Otherwise”. This is the path a user's automation journey will take if they don't meet any of the specified conditions. While you won't always need this path, it's a good way to ensure no one falls through the cracks.

Add action and select an email. We'll fill in the details to send an email to the respondent. To keep this simple, we'll use a plain text email, but you can customise this or use a brand template.

This is going to high ratings. So we'll say a general thank you for your response email and add this action. Now we will do the same for the low rating branch. Except this time we can include a different message apologising for the poor experience they received and let them know we appreciate their feedback and will work to do better. So thoughtful! Now if someone fills out a form, they will be sent a different email depending on how they respond.

You could go even further and add another action under this to send an email to an internal team to follow up on the feedback, or add a delay and resend a different survey in a month's time to see if things have improved.

But wait, there's more than just emails. We can also update custom fields based on responses or any other action for that matter.

So in one clever automation based on one form, you could; send one email for answer A, send a different email for answer B and update a custom field for answer C.
