Projects is an Excel-style workspace inside your SwiftFox account. It lets you organise work into folders and build custom, column-based tables to manage data drawn from your CRM or entered manually — all within one platform.
Where to find it
- Open Projects from the left menu. If you can't see it, ask your system administrator to grant you access.
- Projects sits alongside the core CRM modules and can reference Contacts — People, Organisations and Staff — so rows can appear back on a contact's profile under the Projects tab.
What a project is
A project is a single table. Each table is made up of:
- Columns, which define what kind of data each cell holds (see Column types).
- Rows, which hold the actual records (see Adding rows and linking Contacts).
- Views, which are saved tabs at the top of the table that remember your view type, grouping, filters, sorts and hidden columns (see Search, filter, sort, pin, hide and saved views).
Projects are grouped into Project folders in the left-hand pane so you can keep related tables together.
Core things you can do
- Browse and organise — the left-hand menu lists your Project folders; click a folder to expand it and view the projects inside.
- Create folders and projects — start from a project template or a blank table (see Folders and projects).
- Manage projects — rename, archive, clone with or without data, save as a template, or delete (see Managing projects).
- Configure rich column types — Text, Number, Checkbox, Time, Date, Select, Tree Select, Dynamic tags, Timeline, Record, Project Row, File upload, Smart URL, Custom Boundary, Formula and Linked Field columns (see Column types).
- Build and manage rows — add rows, link Contacts, and surface rows on a contact's profile (see Adding rows and linking Contacts).
- Find, group and arrange your data — search, filter, sort, pin, hide columns, group rows into pipeline stages, and save views (see Search, filter, sort, pin, hide and saved views).
- Export — download the current project table (see Exporting a project table).
- Collaborate at the row level — view a row, create Tasks, add comments and set permissions (see Row-level collaboration).
- Set granular sharing — apply Full access, View & edit or View only at folder, table, column or row level (see Sharing permissions across folder, table, column and row).
How Projects connects to the rest of SwiftFox
- CRM linkage — the Record column type connects rows to People, Organisations or Staff. Linked rows also surface on the contact's Projects tab.
- Linked fields — once a row is linked to a contact via a Record column, a linked field can pull a custom field value from that contact into the row.
- Tasks and notifications — row-level Tasks and comments use SwiftFox's standard tasking and notification flows, including @tagging users to notify them.
- Permissions — Projects uses the standard SwiftFox permissions model across folders, tables, columns and rows.
