Folders let you group related lists together on the Lists landing page so a large account stays organised — for example, keeping all your membership lists, finance lists or communications lists in one place. Folders are optional: every list still appears in the flat All lists view whether or not it sits in a folder.
Where folders live
Open Lists from the left-hand menu to reach the Lists landing page. In the top right of the table you can switch between two views:
- All lists — a flat view of every list in the current circle.
- Folders — the same lists grouped into folders. Folders appear at the top of the table, with any lists that are not in a folder listed underneath.
Click a folder's name in the Folders view to open it and see the lists inside. A Back link and a breadcrumb showing the folder name appear at the top so you can return to the full list.
Circles and folders
A folder belongs to a circle, and the circle (scope) selector near the top of the page — for example Global — controls which circle's folders and lists you are viewing. When you create a folder you choose which circle it is shared with, so make sure the correct circle is selected before you start.
Creating a folder
- On the Lists landing page, click the small dropdown arrow beside the Create list button at the top right.
- Choose Create folder. The New folder panel opens.
- Enter a Folder name (for example Regional lists).
- Use the Circle selector to choose who the folder is shared with. This sets which circle the folder — and everyone with access to it — belongs to.
- Click Create folder to save it, or Cancel to discard. The new folder then appears in the Folders view, ready for you to move lists into it.
Moving a list into a folder
You add lists to a folder one at a time from the list's quick actions:
- Find the list on the Lists landing page (in either view).
- Open its three-dot menu and choose Move list. The Move list dialog opens.
- In the Move to selector, choose the destination folder. To take a list out of its current folder and return it to the top level, choose All lists.
- Click Move list to confirm, or Cancel to leave it where it is.
A list only ever lives in one place — moving it into a folder removes it from wherever it was before.
Nesting folders
You can also create folders inside other folders to build a deeper structure — for example a Finance folder containing separate Invoices and Receipts subfolders. To create a subfolder, open the parent folder first, then use the same Create folder option from the dropdown beside Create list. You can also use Move folder to nest an existing folder inside another.
There is a limit to how many levels deep folders can be nested. It is an account-wide setting, so your account may allow more or fewer levels depending on how it has been set up. Managing an existing folder
Each folder has its own three-dot menu in the Folders view with the following actions:
- Pin folder / Unpin folder — pin a folder to the top of the page for quick access, or remove the pin.
- Move folder — move the folder to a different location.
- Rename — change the folder's name.
- Delete — remove the folder. Deleting a folder does not delete the lists inside it; those lists move up into the parent area the folder sat in (or to the top level), and remain available in All lists.
Tips
- Use folders together with the circle (scope) selector to keep each team or circle's lists separate and easy to find.
- Pin the folders you open most often so they stay at the top of the page.
- Deleting or reorganising folders only changes how lists are grouped — it does not delete the lists themselves, which remain available in the All lists view.
- If you can't find a list, switch to All lists to see everything in the current circle regardless of folder, then use Search to filter by name.
