The permissions menu (where it appears across items)

Find where the permissions menu appears for posts, tasks, projects, cases, contacts, and custom fields.

The Sharing permissions control is how you decide who can view or edit a specific item. It opens the same Edit permissions panel everywhere, but it is reached from a slightly different place depending on the item type. This page lists exactly where to find it for each item type.

How to recognise it

Look for one of these entry points:

  • A globe icon — on a post, under your name (it shows the current visibility, such as Everyone).
  • A Sharing permissions option or button — on tasks, Projects folders/projects/rows, and cases.
  • A Set permissions quick action — on contacts.
  • A Permissions option — on custom fields and custom field sections.
  • Column permissions — on a Projects column.

Whatever the entry point, the Edit permissions panel that opens lets you add users, groups or circles, choose an access level for each, and remove Anyone once at least one entry is in the list.

Where to open it on each item

Posts

While composing a post, click the globe icon under your name (it shows the current visibility, such as Everyone) to open the Edit permissions panel.

Tasks

In the Create a task pop-up, under Permissions, click Sharing permissions.

Projects items

On a folder, a project or a row, open the ⋮ menu and choose Sharing permissions. On a column, open the column header ⋮ menu and choose Column permissions.

Cases

When creating a case, use the Sharing permissions control at the top-right of the New Case drawer.

Contacts (people and organisations)

Open the contact, then in the quick actions on the right-hand side, click Set permissions.

Custom fields and sections

In a contact, click Manage at the top of the custom field section, click the cog (settings) icon next to the specific field or section, then choose Permissions.

What every Edit permissions panel lets you do

Regardless of where you open it, the panel lets you:

  • Choose a preset — Everyone / Only me on tasks, or Everyone / Current Circle / Only me on posts, cases and contacts.
  • Add access for a user, a user group or (on posts, cases and contacts) a circle, with an Add me shortcut.
  • Set each entry to Full Access, View and Edit or View only.
  • Keep or remove the default Anyone entry.
  • Apply your changes, or Reset to default.

Important rule

You must include at least one user, group or circle before you remove Anyone. If you remove Anyone with no other entries present, no one will be able to see the item.
