In Projects you can apply permissions at several levels of the structure: a folder, a project, a column or a row. This lets you keep an entire area of work private, or restrict just a part of a project.
Open the permissions control on a Projects item
- Folder, project or row — click the ⋮ menu on that item and choose Sharing permissions. (On a row, the ⋮ appears when you hover over it.)
- Column — click the ⋮ menu on the column header and choose Column permissions.
Set the access
- In the Edit permissions panel, under Add access for, choose User or User group and find the entry.
- Set the access level: Full Access, View and Edit or View only.
- Click Add, and repeat for any other users or groups.
- Confirm at least one entry is listed, then remove Anyone if you want the item to be private.
- Click Apply.
Choosing the right level to restrict
- Folder — restrict a whole area of Projects, including everything within it.
- Project — restrict a single project without affecting other projects in the folder.
- Column — restrict a specific column of data within a project (via Column permissions).
- Row — restrict an individual row within a project.
Apply the restriction at the highest level that matches your need so that you set permissions once rather than on many individual items.
Tips
- Use groups rather than naming individuals, so access updates automatically as people join or leave a team.
- Always add at least one user or group before removing Anyone, or no one will be able to see the item.
- Review folder-level restrictions first when troubleshooting why someone cannot see a project, column or row inside it.
